The Role: People Services Administrator
Our People Services Team is part of the Group People Operations function, providing payroll, ER, and people support across all PIB Group businesses.
The People Services team supports approximately 4,000 colleagues and managers across PIB Group in a high-volume, fast-paced environment. The role requires attention to detail and an excellent standard of customer service.
Responsibilities:
1. Be the first point of contact for handling all People Services queries and administration (alongside other members of the People team).
2. Carry out all new starter administration, including offer letters, contracts, and setup on the People system (Zeus).
3. Issue onboarding information to new starters and associated administrative processes via our web onboarding portal.
4. Maintain employee files/records associated with Zeus, ensuring compliance with company, legislative, and regulatory requirements.
5. Communicate effectively with the Payroll Services team regarding new starters, leavers, and contract variations in accordance with monthly payroll deadlines.
6. Administer company benefits via Zeus and ensure details are passed to the People Benefits Coordinator for action and tracking.
7. Provide administrative support for changes of benefit/status, including timely liaison with the payroll services team and the production/issuing of variation to contract letters.
8. Be responsible for the accurate and timely maintenance of data on the People system (Zeus).
9. Support improvements to People systems and workflows by identifying and implementing enhancements under the supervision of the People Services Manager.
10. Accurately administer key employee lifecycle processes, including maternity/paternity/shared parental leave, flexible working requests, probation (Barbon only), and leavers.
11. Work effectively and co-operatively with other members of the People Services Team to manage the shared People ticketing system (Freshdesk), following all agreed customer service standards and protocols.
12. Ensure that relevant authorizations have been obtained prior to processing any employee change/starter/leaver.
13. Provide references for leavers in line with standard referencing procedures and regulatory requirements.
14. Issue exit interviews for leavers.
15. Maintain and amend the Holman system as required.
16. Assist with integrations and uploading relevant documentation to Zeus.
17. Undertake any other reasonable tasks as requested.
Skills & Experience:
1. Efficient administrator with high accuracy and attention to detail.
2. Organized approach with the ability to prioritize effectively.
3. Ability to work to tight deadlines under pressure.
4. Collaborative approach – willing and able to work with other team members.
5. Able to balance individual and team tasks.
6. Experience working in a fast-paced, transactional environment.
