Phoenix Medical Supplies is seeking a reliable and proactive individual to join our Executive Support Office, providing comprehensive administrative support to our Directors.
Key Responsibilities:
1. Oversee all administrative activities, including diary coordination and board activities.
2. Manage travel arrangements, including flights, hotels, and car hire.
3. Extensive diary management using Microsoft Office.
4. Support Directors on confidential special projects.
5. Prepare Directors for meetings with agendas, minutes, and presentations.
6. Monitor and respond to emails and correspondence.
7. Submit expense claims and reconcile credit card accounts.
8. Coordinate international managers’ meetings.
9. Attend meetings to take actions and minutes.
10. Act as the first point of contact for Directors and accommodate visitors.
11. Ensure meeting rooms are prepared and provide AV support.
What We’re Looking For:
1. Proven experience as a Personal Assistant at Board Level.
2. Strong planning and organisational skills.
3. High proficiency with MS Office.
4. Ability to work to tight deadlines and manage competing demands.
5. Excellent verbal and written communication skills.
6. Strong time management and organisational skills.
7. Ability to build good working relationships at all levels.
8. A mature and proactive mindset.
