The Business School is seeking a full-time Administrative Assistant to provide a professional, efficient and effective service. You will form part of a dynamic team of administrators who work closely to ensure key school activities are managed and delivered on time. This role will be covering maternity leave starting from mid-late January 2025. The Administrative Assistant acts as the first point of contact for staff from across the Business School. They will need to address queries to a high standard by exhibiting tact, discretion, maintaining confidentiality as required and demonstrating a steady hand regardless of the volume of work. Independence and initiative will be required to react to changing priorities and work circumstances, with scope to make decisions within their own remit. The role holder will organise their own day-to-day workload to meet their objectives. The role will be based in Howard House (including cover of the reception desk) with scope for blended working in line with the school's guidance.What will you be doing? The role holder will welcome staff, students and visitors from the reception desk of Howard House. Key duties include:
* Supporting school staff with queries in person, via the telephone and via email, ordering supplies, organising travel, arranging building access and raising Purchase Orders.
* Supporting school activities, for example, recruitment, induction, and office moves.
* Drafting school communications, including using creative programmes to maximise impact.
* Assisting with diary management for school staff.
* Organising events, including staff seminars, by booking meeting rooms, ordering catering and advertising events internally or externally.
* Liaising with staff in other areas of the University to resolve queries e.g. maintenance.
* Assisting the school in achieving its sustainability commitments.
You have excellent organisational, communication and customer service skills.
* You can complete tasks to a high level of accuracy.
* You are flexible and a good team player, as well as being able to work independently and show initiative.
* You can work in a busy environment, both multi-tasking and reacting quickly to changing circumstances, but also be proactive in improving processes.
* You are experienced in using a range of IT systems and are able to adapt to new systems and processes quickly.
