An exciting opportunity has arisen within our IT Service Support Team at Inca Warehouse in Ashford. This is a permanent post for individuals with good attention to detail who want a chance to experience working in a fast-paced environment.
We are seeking to recruit a self-motivated and driven Asset Configuration and Licencing Administrator to join our busy and friendly ICT department.
Main duties of the job
The post holders will be responsible for day-to-day coordination of IT assets ensuring they get to the right location. This will involve accurately updating our IT asset management system, taking bulk delivery of all types of IT equipment into our various storages and distributing them to our local sites. The post holder will also be responsible for configuring some of this equipment in line with our IT security policy.
Applicants must have the ability to work under pressure, meet tight deadlines and manage priorities effectively. Technical and Customer service skills are an extremely important factor in this role.

Detailed job description and main responsibilities
• Maintain the EKHUFT Configuration Management Database (CMDB) and associated processes, enter, assess and report on status modifications to change items, documenting the reporting, investigation and outcome of all defects and problems reported against change items, escalating as required, ensuring that necessary data, including critical attribute information, is available and appropriate records of all changes to IT assets are accurately recorded.
• Review information held in the CMDB against defined standards, including current licences and licence compliance, checking that assets have appropriate tracking, validating requests and updates, and initiating corrective action as appropriate to provide the CMDB with up-to-date information to ensure effective use and reallocation of licences.
• Monitor and evaluate the usage of end-use computing hardware and software, producing statistical data and management reports containing options and recommendations on the use of equipment and licencing, to maximise staff efficiency and achieve best value for the Trust.
• Manage and control changes to specified IT assets, monitoring the storage, distribution, movement and stock levels, maintaining up-to-date “Catalogue Items”, assisting procurement process for non-stock items and ensuring assets are correctly logged and marked, ensuring that all IT assets are identified and that only authorised changes are implemented.
• Monitor and action the IT post management mailbox, goods receipting, credit notes and occasional visits to the mailrooms on all the sites (WHH, QEQM and KCH). The post holder will be the first point of contact for ordering postage consumables and all postage-related issues including logging calls to third parties on Franking machine faults and generating usage reports to encourage electronic mail and suggest improvement.
• Scope, classify and specify configuration items, including information relating to storage, access, service relationships, inventory, compliance, usage and disposal, providing for accuracy and accessibility, ensuring that authorised changes to IT assets maintain the integrity of the IT infrastructures.
• Assist with performance configuration audits to check the integrity of the information held within the Configuration Management Database, explaining the information held and providing an audit trail for information that supports the CI information, producing reports, including recommendations for improvements and initiating corrective actions, to ensure appropriate control, accuracy and integrity of the CMDB.
• Promote awareness of asset control responsibilities and benefits for IT staff and users within the Trust, generating the configuration of data reports per the schedule outlined in the CMDB Audit plan and storing reports on the Portal, ensuring that data yielded from this process will be of high quality and provide management with the right level of business intelligence.
• Prepare and present a range of management information reports to key stakeholders and IT managers as directed, incorporating configuration data that is current, well presented and available at times required, to provide accurate reporting and support the provision of high-quality configuration and asset management services.
Person specification
Qualifications
* Minimum of 5 GCSEs awarded at grade C or 4 and above, Mathematics and English
* A-Level Education or Higher
* ITIL Foundation Certificate (or 1 year service in an ITIL environment)
* NVQ Level 3 in Communications Technology
Experience
* Previous experience of asset management
* Previous experience of problem reporting
* Experience in raising purchase order, goods receipt and store keeping
* Previous experience of managing stock level, inventory and 3rd party customers
