Job overview
This is a newly created role within the People Directorate at Coventry & Warwickshire Integrated Care Board (CWICB). The role will work with our existing team of established and developing HR professionals to shape HR for CWICB and deliver our People Plan.
Main duties of the job
* Act as the first point of contact for any HR enquiries, providing first line HR advice for queries from managers and staff.
* Provide and coordinate HR administrative services, including preparation of agendas and minutes.
* Support the HR team with project management, gathering information and undertaking necessary enquiries.
* Demonstrate a high level of initiative, organising day-to-day workload and managing large volumes of work.
* Exercise judgement and discretion in responding to a range of queries, seeking further HR support as required.

This role is open to hybrid working with requirements to regularly attend ICB and partner sites across Coventry and Warwickshire.
We are a small, hard-working team looking for a highly motivated individual to join us as we continue to embed an internal HR service into the organisation.
Detailed job description and main responsibilities
* Provide specialist secretarial/administrative support and advice to the ICB with the HRBPs and HRAs guidance.
* Maintain the HR inbox and ensure queries are dealt with in line with KPI’s.
* Sort and prioritise incoming mail and emails, distributing as appropriate.
* Support and maintain effective office management systems to ensure smooth information flow within the department.
* Deal with non-routine enquiries, providing direct support and problem-solving.
* Carry out a range of administrative tasks and provide cover for other team members as needed.
* Manage and produce relevant data for the HRBPs and HRAs.
* Provide basic HR advice via the HR inbox.
* Organise and co-ordinate meetings, conferences, and training events.
* Take and distribute meeting notes and prepare materials as necessary.
* Ensure urgent and/or confidential communications are handled in a timely manner.
* Input, monitor, and check data for performance reporting on relevant team projects.
* Develop effective working relationships across the organisation.
* Ensure effective communication methods are used for disseminating information.
* Identify and resolve queries, escalating where necessary.
* Ensure statutory and mandatory training is kept up to date.
* Provide administrative support for training sessions and programmes.
* Utilise IT applications to create reports, project plans, and documents.
* Work independently on specific projects, consulting for further guidance as needed.
* Work under pressure and manage tight deadlines.
* Travel to support meetings across Coventry and Warwickshire.
Person specification
Knowledge
* NVQ Level 3 in a relevant subject or equivalent experience.
* Significant administrative experience, including initiating and maintaining office systems.
* Experience in dealing with the public and handling sensitive information.
* Intermediate knowledge of IT systems and software, such as Outlook, Word, Excel, PowerPoint, and Teams.
* Understanding of Confidentiality and Data Protection Act.
Skills
* Excellent writing, data entry, and presentation skills.
* Able to work independently and prioritise workloads effectively.
