Job summary
The post holder willprovideadministrative support to the PCN Business Support Manager on a day-to-daybasis, supporting current and future workstreams. The post holder will also provideadministrative support to the Managing Director, Operations Manager, and PCNClinical Directors when required. Workingwith general practices, the post holder will be the first point of contact for networkpractices, other partner and stakeholder organisations in relation to enquiriesand raising issues concerning GJH service provision. This role involves providing high qualitywork, comprehensive and effective administration skills across a wide variationof work with some travel across Gosforth and Jesmond required.
Main duties of the job
Service administration andco-ordination
Diarising, administrating and attending relevant meetings, producing agendas andminutes
Co-ordinate PCN-wide training events
Ensuring actions log items areprogressed
Supporting the induction of newmembers of enhanced hours staff
Assisting the BusinessInformation Manager with data capture on a range of systems, where required
Ensuring distribution lists arekept up to date
Maintaining a staff rota forenhanced hours shifts
To include any other duties asrequired

Job responsibilities
Service Administration Enhanced Access ("EA")
Provide monthlyto PCN GP practices itemised payment details relating to remittances issued topractices for work in delivering PCN services
Maintaining a staff rota for Enhanced accessstaff
Sending weekly communications to all EA staff relatingto the availability of EA shifts, and maintaining an up to date and accurate MSTeams Shifts rota
Adding Monday to Saturday EA clinics to eachpractice system weekly; ensuring these match Shift allocations on Teams for GP,Nurse and HCA sessions Monday to Saturday
Ensuring and maintaining up to date staffhandbooks and policies are in place for EA sites, including job role sheets forall staff members and FAQ sheets for new staff
Introduce new staff to EA
Ensuring all new EA staff are inductedproperly during their first shift and set up correctly on all practice clinicalsystems, including ICE where needed
Liaising with Duty Managers to ensure eveningcover through the week for phone calls from staff at EA sites with issues andbe first point of contact for the bloods courier service
Liaising with Duty Managers to ensure 9am to 5pm cover on Saturdays for EA sites
Collecting feedback from EA staff relating toissues and matters arising and forwarding to the appropriate members of GJHteam to resolve including stock, IT and buildings
Collecting feedback from clinics relating toservice access, utilisation and patients and forwarding to PCN GP practices;including incorrect bookings, patient feedback and complaints
Operational Responsibilities
Providedirect support to the PCN Business Support Manager and Clinical Directors
Organisemeetings or events related to PCN activity
Supportimplementation of initiatives through timely and relevant administrativesupport
Attendingrelevant meetings, producing agendas and minutes with the support of the PCN BusinessSupport Manager
Communications and Working Relationships
Contribute tothe overall delivery of national and local Primary Care Network priorities andinitiatives, by working closely with the PCN Business Support Manager, ClinicalDirectors, and the Primary Care Network team
Undertakedistinct tasks and activities to support the delivery of project milestones
Liaise withthird parties with regard to aspects of PCN work
Build andmaintain good relationships with clinical staff involved in or associated withthe network to maintain effective clinical engagement at all times
