We are looking for a Personal Assistant to provide full day-to-day support to our Tax Director. Based in our Borehamwood office, you will provide an efficient and smooth service, including extensive diary management and administration support. This is a fast-paced and demanding role with a lot of interaction, both supporting the Director and the wider team. Through your commitment and talent, you will make a significant contribution to the growth and ongoing success of the firm from the outset.
Day-to-day duties include, but are not limited to:
* Processing correspondence, ensuring that incoming correspondence is dealt with on the Tax Director's behalf, or as appropriate.
* Completing IHT and Probate forms.
* Responsibility for new client setup files and updating of CCH.
* Preparing and keeping contact lists up to date.
* Receiving and dealing with telephone calls professionally, re-directing or taking messages and using initiative to deal with queries.
* Extensive diary management, assessing priority of appointments and reallocation as necessary.
* Arranging meeting and travel logistics as and when required.
* Maintaining client confidentiality at all times in accordance with Sopher + Co LLP Policies and Procedures.
* Diary and email management.
* Basic HMRC form filling.
* Drafting email replies.
* Preparing expenses sheets and timesheets as necessary.
* Ensuring all client correspondence is filed and up to date on the relevant systems, sending engagement letters and dealing with money laundering requirements.
* Any other duties as requested, including ad hoc tasks.
About you
Naturally you will be able to offer and demonstrate previous PA/EA experience, within accountancy practice / professional services firm, ideally within a tax department. You will be confident in working to a high standard, have excellent communication skills and a flexible approach to your work. Ideally you will also have/be:
* Previous experience as a PA/EA, ideally within Practice or a Professional Services organisation.
* Strong knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
* Excellent typing skills.
* Proactive, robust and self-motivated, with a drive for ideas, suggestions and improvements.
* Ability to manage own workload.
* Excellent time management skills and the ability to prioritise work.
* Attention to detail and problem-solving skills.
* Excellent written and verbal communication skills.
* Strong organisational skills with the ability to multi-task.
