Work Schedule Standard (Mon-Fri) Environmental Conditions Office Job Description Provide support and assistance to the Site Services Manager maintenance and facilities team, collating and allocating work requests, prioritizing those requests, and identify urgent request affecting safety or business impact. Maintaining contractor records, service records and placing proactive and reactive orders on suppliers - Arranging supplier visits - Coordinating visits with site service team and end user departments - Providing supplier inductions and maintaining records of those inductions Support Site Lead's initiatives for promoting wellbeing and workplace environment improvements. - Being lead contact for such initiatives - Organising initiatives Procurement for Site Service team, and site lead - Sourcing products - Product identification - Reconciling orders to POD's of items delivered Procurement for operations team for non-stock items Supporting Site Services Manager in audit preparation and regulatory compliance, by maintaining records and information sources - Centrally store such record so they are easily recoverable - Familiarity with ISO9001 and ISO 14001 requirements Be responsible for post room daily activities with respect to printing invoices and other financial documents, and their subsequent mailing. Postage of parcels via Royal Mail or carrier - Dealing with personal attention parcels - Manage Royal Mail Account for posted items Assist the Site Services Manager in reducing the cost of operating the post room. Be part of the Reception team - General reception duties and administration - Role during site emergencies including first aid callout, fire alarm roll calls - Keep staff distribution lists and door access profiles up to date.
