Details of Role
1. Liaise with freight forwarders for the costs of both airfreight and sea freight consignments (LCL and FCL), obtain sailing schedules, approve bookings, and ensure correct documentation is in place for Customs clearance.
2. Arrange consolidated, full container, and ‘buyers consol’ shipments from the Far East, Africa, and the EU, liaising between factories and freight forwarders to ensure bookings are sent through and space secured on required vessels.
3. Reconcile supplier invoices to load schedules, ensuring correct pricing and quantity, updating our internal SAP system with shipment details.
4. Notify internal and external departments of shipments.
5. Produce commodity code listing and reconciliation to invoice and packing list for freight forwarders ready for Customs clearance process.
6. Work with our finance manager and stakeholders to balance supplier and freight payments.
7. Update landed costs and stock revaluation to include fabric costs on CMT garments.
8. Carry out OPR approval with HMRC for the specialist fabric to be exported from UK suppliers to the Far East.
9. Ensure sufficient garment trimmings are in stock with all garment factories ready for garment production.
10. Track currency rates, record forward contracts purchased either through the currency company or bank, reconciling usage and monitor expiry dates to ensure contracts are fully utilized before expiry.
11. Calculate supplier CNY or USD deposit payments on placement of PO.
12. Produce Excel deposit balance control sheet and ‘stock on the water’ payment reports.
13. Work with yearly external audit company to provide reports, OPR records, and supplier and purchase invoice trails.
14. Work with HMRC for the import/export audit and OPR audit, ensuring all paperwork trails are available and accurate for audit.
