Role and Responsibilities:
The role will be working in a client facing environment representing the company and being the first point of contact, providing an excellent front of house service as well as administrative assistance to support the Office Manager.
Duties include:
* Guest Reception: Meet and greet guests in a friendly, secure, and polite manner, providing refreshments as needed.
* Office Environment: Maintain a safe, pleasant, and sustainable office environment. Support the Office Manager with Health & Safety and Fire Officer responsibilities.
* Meeting Room Management: Manage meeting rooms, including setting up ahead of each meeting and ensuring they are clean and tidy afterwards.
* Communication: Answer and receive phone calls, efficiently handle external and internal inquiries, and escalate messages effectively.
* Mail and Shipments: Distribute incoming mail to respective staff and organize local and global courier shipments.
* Inventory Management: Regularly check inventory and order office and kitchen supplies (stationery, refreshments, purchases).
* Event Support: Assist the Office Manager in planning and implementing events such as hosted meetings, offsite meetings, conferences, and staff parties. Support logistics for events and arrangements.
* Administrative Support: Assist the Management team with any administrative tasks related to their day-to-day activities.
* Ad-hoc Requests: Assist the Office Manager with ad-hoc facilities requests.
* Vendor Management: Support the vendor management process.
* ESG Reporting: Support the ESG reporting process and collect relevant data.
* Purchasing: Make purchases for office supplies and stationery.
