Personal Assistant and Charity Administrator

We are looking for an exceptional Personal Assistant and Administrator to join our Corporate Affairs and Charity Team.
You will play a vital role in the day-to-day running of the Corporate Affairs office, including supporting the Head of Corporate Affairs and Charity with a range of admin tasks. You will also be part of the Trust's STS Charity team, coordinating donations and fundraising activity and being the first point of contact for the Charity office.

Main duties of the job
You will provide comprehensive administrative support to the Head of Corporate Affairs and Charity, including diary management, document management, and supporting the day-to-day running of the STS Charity office.
This is a varied role in which no day will be the same. You will support many of the team's main functions, including organizing the Staff Awards, Freedom of Information Requests, Trust membership, and administration of our new Shadow Board.
You will be highly organized with experience of working in a busy office environment and be an excellent communicator. As the first point of contact for the charity office, you will deal with enquiries about fundraising activity as well as processing donations and keeping records up to date.
You will have a proven track record within a personal assistant or administrative role. You will be able to work independently with autonomy and manage a number of projects and demands. Most importantly, you will have a desire to do the very best for our patients and have empathy with the aims and objectives of our STS Charity.
Job responsibilities
* To provide administrative support to the Trust's Head of Corporate Affairs and Charity.
In addition, specific administrative support to:
* Help manage the day-to-day running of the Trust charity STS Charity.
* The Assistant Trust Secretary in relation to management of freedom of information requests and also Foundation Trust membership database management.
* Other senior managers and functions if required.
Person Specification
Qualifications
* GCSE Level (A-C) English Language and Maths or equivalent standard NVQ level 3.
* Shorthand qualification.
* Secretarial qualifications, (RSA Grade III typing or equivalent).
Experience
* Demonstrable experience as a Personal Assistant to Director or senior manager level.
* Computer literate in: Word processing / Email / PowerPoint / Microsoft Office / Databases / Excel or equivalent.
* Experience of managing busy diaries and general office practice.
* Experience of working in a busy office, managing own workloads.
* Experience of working with the public and staff at all levels in an organization.
* Experience of minute taking.
* Understanding and knowledge of the structure and workings of the NHS.
Skills and Knowledge
* Able to use own initiative and work without supervision, prioritizing work as required to meet exacting deadlines.
* Able to work to strict deadlines in a pressurized environment.
* Possess excellent administrative and communication skills.
* Ability to recognize the importance, confidentiality, and sensitivity of issues and act with the utmost discretion.
* Excellent care with compassion skills with the ability to adhere to strict deadlines.
* Excellent attention to detail and accuracy in production of work.
* Ability to liaise and coordinate with teams from other departments/hospitals.
* Good communication skills, both written and oral.
* Knowledge of the NHS.
