As an Assistant Facilities Manager at JLL UK, you'll play a crucial role in shaping a brighter way for our client Rolls-Royce in Raynesway Derby. In this position, you'll collaborate with the Facilities Management team to ensure smooth operations of our clients' properties throughout the site. Your day-to-day responsibilities will involve overseeing maintenance, coordinating with vendors, and implementing cost-effective solutions that comply with UK regulations. Key Responsibilities
1. Manage day-to-day site activities including site functionality, escalation management, planning, and client satisfaction.
2. Support Building Management Systems, create and manage Preventative Planned Maintenance schedules, monitor relevant task systems, and ensure Environmental Health, Safety, and Quality Compliance.
3. Collect and monitor Operation and Maintenance Manuals, warranties, Asset and Life Cycle Registers, ensuring maintenance is delivered on time.
4. Ensure compliance with JLL and Client policies and procedures, including statutory compliance and standard operating procedures.
5. Manage budget and expenditure, including creating Purchase Orders, processing invoices, and managing service charges, rates, rent, insurance, and local taxes.
6. Deliver or delegate service requests, ensuring all are actioned within the agreed timeframe, meeting KPIs and SLAs.
7. Maintain office housekeeping and cleanliness to high standards, working with cleaning vendors and conducting audits.
8. Support facilities projects, fit-outs, and crisis management activities on site.
9. Ensure timely project solutions, identify risks, and document lessons learned.
10. Build relationships with internal and external stakeholders, including landlords, partners, and vendors.
11. Communicate effectively to keep the client and management informed of risks or events.
12. Provide leadership, direction, and mentorship to the JLL team and vendors, fostering a positive team culture focused on customer experience.
13. Promote health and safety best practices, conduct risk assessments, and ensure compliance with safety protocols.
14. Manage and review health and safety documentation for compliance and safety.
15. Support the Facilities team’s objectives, goals, and growth.
16. Assist the Facilities Manager with ad-hoc duties as required.
17. Supervise and monitor the team’s daily work.
About You
1. Experience in facilities management delivering both hard and soft services.
2. Experience using a Computerized Maintenance Management System for Preventative Maintenance.
3. People management skills and experience managing a team.
4. Knowledge of building regulations, H&S, contractors, and statutory requirements in the country.
5. Experience in project management or team delivery (desired).
6. Ability to meet tight deadlines, work efficiently, and collaborate effectively.
7. Interest or experience in facilities management and customer service trends.
8. Good communication skills and openness.
9. Strives for excellence and shares ideas for improvement.
10. Proficient in Word and Excel, with an interest in technology.
11. Adaptable to changing requests and projects.
