Overview WTS Project Coordinator is fundamental in the delivery of support services to clients and provides support to both the client and ONNEC teams as required. Reporting to the Executive Service Delivery Manager The Project Coordinator will be site based and primarily responsibility for the coordination of activities, resources, equipment, information and the smooth running of administrative systems, procedures, policies and processes. What you’ll be doing as our Project Coordinator: Dedicated single point of contact for project administration. Attend Client and 3rd Party Vendor meetings where necessary. Co-ordination and administration of Meetings (Internal and Client) as required and take accurate meeting minutes. Provide information and support to Client, 3rd Party Vendors and Onnec Group Teams as required. Complete process and procedure documentation. Provide project financial reporting. Administer purchase to payment processes (both Client and Onnec Group). Raise materials orders, schedule and chase deliveries and goods receive items. Maintain the Onnec Group Team’s and different Client Group’s SharePoint content. Maintain the integrity of databases. Reconcile Client and Onnec Group systems for reporting purposes. Maintain “tracker” databases e.g. Uniform, PPE, Testers, Staff Rotas, Sickness and Holiday records etc. Maintain and Administer H&S and Quality registers in preparation for audit. Arrange necessary access, login id etc. for new starters. Electronic filing of documents as required. Collating, printing, and distribution of reports as required. Scan, fax and copy documents as required. Maintain company and department contact list. Update org charts when necessary. Perform additional administrative tasks as instructed by Client and/or Onnec Group Management. What we’re looking for in our Project Coordinator: Essential Relevant experience of a Banking environment Experience of IT Service Management Administration and Project Life Cycles. Good MS Office Suite experience (Word, PowerPoint, Outlook etc.) Excellent Microsoft Excel capabilities (data manipulation / analysis / reporting). Experience of ERP accounts software. Understanding of Workflow Processes. Understanding of IT Change Management. Self-starter, organized, detailed-oriented and ability to work independently as well as part of a team. Prioritization skills and multitasking ability. Ability to work under pressure. Satisfactory Skills Matrix score.
