This is an exciting opportunity for an Secretary to join the Technical, Land & Planning Teams. This role typically reports to the Technical Director. The purpose of this role is to provide and perform general administration and secretarial support using own initiative and self-motivation where necessary. The role will include: Document Management of drawings and reports Assisting in the production of NHQB Plot Packs Assisting the team in production and monitoring of consultant appointment documentation including Framework appointments Logging invoices/professional fees forms and distributing for signatures between the teams and both Directors ensuring to meet bi-monthly payment run deadlines. Typing of correspondence, schedules and reports, to include photocopying, scanning and emailing as required. Managing departmental diaries, with close liaison internally and externally to arrange appointments. Provide cover for Reception as per rota and during times of absence (annual leave, sickness) General administrative duties, to include, managing & maintaining training records, collation of post incoming & outgoing, reporting of holidays/sickness, consultant appointments, legal correspondence & cheque/CHAPS requests. Handling telephone enquiries and managing the Land and Technical email inbox raising enquiries with Land and Technical Directors and Head of Planning. Taking & issuing of minutes for Land & Technical Meetings. Coordinating issue of covenant consents, advising homeowners of what is required in order to gain consent and produce the correspondence. Compiling departmental elements of board papers & valuation packs. Assisting the Land, Planning & Technical team in the preparation of Pre-Start Minutes of Pre-Construction Information packs and Health & Safety files. Preparation and collation of Home User Guides for affordable and private dwellings. What we need from you? Experienced administrator with proven track record supporting a large team. Absolute discretion and confidentiality at all times. Excellent administration skills, with faultless attention to detail. Well-developed organisational skills. Ability to work under own initiative as well as within a team. Self-motivated, takes responsibility for self-development and actively seeks ways to improve own performance. Able to multi-task and remain calm under pressure. Professional telephone manner and communication skills, at all levels. Excellent IT skills to include all Microsoft Office programmes, Outlook and the internet. Whats in it for you?
