Job Summary
Financial Markets Business Assistant will provide effective and efficient administrative support to multiple Markets teams and relevant management, as well as the wider regional Markets business and trading floor.
Key Responsibilities
* Support multiple Markets teams and relevant Markets management
* Support the wider Markets business across core hours, assisting in daily BAU tasks as well as wider projects as requested by Markets COO
* Work collaboratively with the wider Markets Assistant team, ensuring the Markets business has appropriate cover at all times
* Share best practices and challenge processes to ensure operational efficiency
* Identify and take responsibility for additional administrative responsibilities with the support of the wider team for the purpose of increasing productivity
* Organising travel itineraries including booking flights, car pickups, accommodation, and prepare/submit visa requests, booking restaurants
* Processing of expenses; ensuring the Gifts & Entertainment register is updated within the parameters of the policy
* Raising and managing IT and Telecom requests via MyIT and Infomatch; following up on requests accordingly
* Booking meeting rooms and if necessary, refreshments, video conferencing and conference calls
* Distribution of post and arranging the booking of couriers
* Onboarding new joiners, offboarding leavers and movers out by raising system accesses and software requests as well as completion of relevant checklists
* Organising printing where necessary
* Manage overseas visitors, ensuring key stakeholders are aware
* Working with Sales team on client events and entertainment as well as helping to organise client roadshows
* Maintain cost centre ownership, ensuring appropriate delegated authority is assigned to cost approvers
* Support in recruitment and managing the onboarding and offboarding of staff, ensuring all systems and hardware are in place and relevant governance controls are met
* Supporting the Dealing Room Manager with the operational efficiency of the London dealing room
* Be point of contact and act in accordance with other ad hoc requirements
Our Ideal Candidate
* A Level education
* Have high standards of work with excellent attention to detail
* Use appropriate interpersonal and communication skills (both written and verbal) to deal confidently with global teams and senior management, both internally and externally
* Prioritise and act proactively to take ownership and manage tasks/projects from start to finish using strong organisational skills, with the ability to multitask while remaining calm and professional
* Experience of working in a fast-paced environment with the ability to work under pressure
* Contribute to continuous process improvement and sharing best practice
* Be a true team player with a flexible approach to all aspects of the role and the needs of the business
