Executive Assistant - London
£60,000 - £65,000 per year - Excellent Bonuses
Our client, a dynamic and fast-growing investment firm, is seeking a motivated and proactive Executive Assistant to join their team in London. In this role, you will provide essential support to the Investor Relations and Operations functions. This is a fantastic opportunity for an assistant looking for a challenging and varied role within the investment industry.
The role of Executive Assistant:
OPERATIONS duties:
* Manage diary and travel arrangements for senior team members.
* Coordinate with outsourced travel providers.
* Handle expense claims.
* Schedule meetings for other team members.
* Coordinate internal and external group meetings, including filing related to the investment process.
* Organise staff events and entertainment.
* Handle inbound phone calls, post, and stationery ordering.
* Maintain a good relationship with office management and oversee office space and IT issues.
* Manage office-related projects.
* Arrange office lunches and oversee visitor management.
INVESTOR RELATIONS duties:
* Manage the diary of the Investor Relations team, scheduling and prioritising investor meetings and ensuring timely follow-up.
* Support the fundraising team with investor outreach activities, including conferences and events.
* Maintain the CRM system, ensuring accurate and up-to-date information is recorded.
* Assist with updating marketing collateral and preparing presentations.
* Provide support in answering due diligence requests.
* Help maintain an accurate dataroom.
* Follow up with investors regarding capital calls, distributions, and other notices.
* Assist in the planning and organisation of investor events, including the Annual General Meeting and dinners.
The ideal Executive Assistant:
* Ability to efficiently schedule meetings across different time zones using electronic diaries.
* Positive attitude and flexibility to adapt to changing priorities.
* Strong personality with a friendly and approachable demeanour.
* Familiarity with Microsoft Office products, particularly Word, PowerPoint, and Excel.
* Excellent written and verbal communication skills.
* Strong attention to detail and ability to prioritise effectively.
