Assistant Facilities Manager- Tottenham Hale- 32k- Permanent My client, a renowned Property Management company are currently recruiting for an Assistant Facilities Manager to join their team based in Tottenham Hale The post covers a wide range of duties to provide an efficient and effective estate management service. This includes management of staff and the delivery of the goals and targets. The successful applicant will be flexible and pro-active in their approach to dealing with a diverse range of activities in order to deliver an efficient and customer focused range of services Main Duties Office management and maintenance of facilities Staff and soft services Management and Development Supporting HV manager in the overall management of all Estate Management Service and Security staff with direct involvement in management for both the Estates Supervisor, Security Supervisor and general operatives To ensure that all staff are aware of their roles and responsibilities and that these are measured through effective leadership and performance management processes. Assist in the progress and development of staff monitored against agreed objectives through regular one to one meetings and annual assessments. To review training needs and set up on the job training and external training as required Assist with areas of concern in respect of performance, conduct and sickness absence in line with current company policy and legislation To authorize annual leave whilst maintaining effective service delivery Assist with recruitment and selection of staff and to ensure that all staff are in receipt of relevant policies and procedures and have undertaken a suitable period of induction training. To set up regular meetings with all staff to exchange information, discuss problems and consider ways to continually make service improvements. Estate Management and Development Assist with the delivery of all services as set out in the Management Strategy and in line with service standards identifying all activities to be maintained and exceeded Assist in the day to day management of the estate, including a 24-hour emergency call out. o monitor contracts, ensuring high quality services, effective response times and within agreed financial limits. To notify residents and stakeholders of any planned maintenance work. To provide a concierge, security and traffic management system To be responsible for the management of maintenance, repair, cleanliness and enhancements of the non-private areas, both communal and public realm. To ensure that all emergency repairs and routine repairs are completed within agreed timescales. To manage and monitor waste collection and recycling through close working relationships with the Local Authority. To ensure that the communal car parking area is marked out and its use is controlled and monitored and kept clean and tidy. To monitor any anti-social behavior, ensuring that all stakeholders adopt the standards and code of practice To ensure that working relationships with the development/construction side of the business are managed and that relevant information is disseminated to stakeholders when necessary. This happens in the shape of weekly meetings. Produce documents and content for quarterly board reports to directors To order required office products and keep track of current supply stock. To maintain regular archiving of working documents. To keep a payroll record of the estate management and security staff's working hours, annual leave and unpaid leave to be passed to HV manager To navigate HV archive to extract historical documents when required Maintain a permit to work system for all on site works To invoice and monitor income from all commercial customers regarding Estate Service Charge, Building Service Charge, Rent, Insurance, Parking and any additional services. Communicate any planned maintenance work Act as a point of contact for commercial managing agents
