Responsibilities
Operations & Service Coordination
* Work closely with Clinical Lead to ensure the smooth running of SAH Diagnostics' insourcing lists and clinics.
* Coordinate information with Clinical Lead to mobilise new projects and services, using mobilisation plans and liaising with stakeholders.
* Monitor and manage shared mailboxes (SAH Diagnostics Admin, Remittances, SAH Diagnostics Admin Net), ensuring timely responses and escalation where necessary.
* Maintain and update project spreadsheets with relevant clinical and non-clinical information.
* Assist in creating presentations, reports, and essential documents to support business operations.
* Prepare weekend activity report for donor management and weekly wash up calls with NHS Trusts.
Rota & Workforce Management
* Coordinate multidisciplinary staff rotas, liaising with NHS Trusts and on-site coordinators to resolve staffing gaps.
* Work with the Recruitment Team to ensure appropriate staffing levels for new projects and service expansions.
* Ensure all staff are fully onboarded before commencing activity, reconciling staffing rotas with onboarding data and escalating concerns as required.
* Send staff booking confirmations and reminders for scheduled shifts.
* Liaise with internal and external IT teams to ensure all necessary system access and logins are in place for staff.
Client & Stakeholder Management
* Develop and maintain strong working relationships with NHS Trusts and other key stakeholders.
* Attend client meetings, document action points, and ensure follow-ups are completed.
* Respond promptly and professionally to stakeholder queries, escalating concerns where needed.
* Assist the Clinical Lead in providing feedback and operational support to NHS Trusts, proactively addressing any challenges.
Reporting & Governance
* Coordinate activity forecasting to ensure internal visibility of upcoming and completed projects.
* Produce and update Management Information (MI) reports, tracking project performance against agreed KPIs.
* Identify and flag potential data errors within spreadsheets to maintain accuracy.
* Report complaints, incidents, and patient/customer feedback via internal systems, contributing to investigations as required.
* Ensure adherence to SAH Diagnostics' policies, procedures, pathways, and protocols, and contribute to continuous improvements when needed.
* CQC Compliance.
* Ensure all employees are aware of policies and procedures.
* Keeping guidelines and procedures up to date.
* Assisting with Clinical Incident reporting.
* Manage collection of clinical information, manage clinical database, analyse and generate reports.
Project & Administrative Support
* Provide project management support to ensure smooth execution of key initiatives.
* Support the launch of new contracts, ensuring alignment with established processes.
* Step in for the Clinical Lead during leave periods, covering client wash-up calls, internal meetings, and reporting duties.
* Manage the Clinical Lead’s email inbox, ensuring timely responses and appropriate action.
* Extract, update, and maintain data within internal systems, ensuring compliance and real-time accuracy.
* Respond to financial and operational queries diligently and professionally.
* Coordinate with teams across Service Delivery, Clinical Coordination, Recruitment, and Compliance to ensure seamless operations.
Qualifications
* Educated to A Level or higher education
Experience
* Experience of working in a team role within an NHS trust or healthcare business.
* Experience of working across departmental and organisational boundaries to deliver specific targets and to improve services for patients.
* Evidence of organisational awareness
Knowledge and Skills
* Excellent inter-personal and communication skills
* Very high degree of ‘attention to detail’ – meticulous in data capture and admin
* Able to prioritise own workload and manage time effectively.
* Flexible approach to change management and problem solving.
* Knowledge of clinic and theatre team set up and throughput expectations.
* Good IT skills (Excel)
