About the team
Working within HR People Services our Onboarding and Training team provides support to both the Recruitment and Learning & Development Training Team. Our primary focus is to ensure that all applicants receive a positive experience throughout their journey, from when they apply for a role with GWR through to completion of training ready for their new job; and that internal staff are supported through their internal career development.
About the job
You'll provide an administration service to support all operational recruitment and training activity, ensuring compliance with onboarding processes and procedures. From dealing with candidate queries throughout the recruitment and onboarding process to issuing contracts of employment and scheduling training our team is key to delivering a great experience for our candidates and new starters to GWR.
Your main responsibilities will be:
Some of the areas you'll be involved in are:
* Onboarding successful applicants including arranging preplacement medicals, security checks, and issuing contracts of employment.
* Ensuring all onboarding paperwork is complete and copies uploaded to colleague personnel files.
* Maintaining onboarding and recruitment trackers and providing reports when required.
* Scheduling candidate assessment and interviews using the online recruitment system.
* Collation and advertising of new vacancies across the business.
* Responding to general candidate communications, and recruitment and training enquiries.
* Set up training courses, ensuring efficient use of our trainer and venue resources.
* Maintain GWR staff training records.
* Ensure course waitlists are kept up to date and managed effectively.
You'll need to be:
* An experienced administrator with strong attention to detail
* Able to manage your own workload, be proactive and prioritise effectively.
* Able to work under pressure whilst maintaining efficiency and accuracy.
* Highly organised and able to work to tight deadlines.
* Enjoys working a part of a team and driven to provide excellence customer service.
As a minimum, you will need to have:
Experience of working in a fast-paced office environment providing administration support.
* Excellent customer service and communication skills.
* Proficient in the use of Microsoft Word and Excel.
* Experience of working in a HR shared service environment is desirable but not essential.
Working pattern
35 hours per week (Monday – Friday)
HR People Services are based in Milford House, Swindon. Office cover is needed on a rotational basis and there is currently some opportunity to work from home or other locations on our network.
