To provide and own administrative support for the Communications and Engagement Team and to provide an initial and ongoing contact point for enquiries (internal and external) to the Communications and Engagement team.
To support the smooth day to day running of the council's Communications and Engagement activities by having a clear understanding of communications and engagement tasks, including external and internal communications. Working with colleagues in the Communications and Engagement Team and across the council to drive the dynamic and ever-changing needs of the council, providing added value to support the council's corporate plan.
Provide the initial contact for enquiries (both internal and external) that arrive into the Communications and Engagement Team's email inbox. Ensure requests are clearly understood, take ownership and responsibility for ensuring details are logged on the team's work planner, allocated and solved within corporate standards and deadlines. Obtaining information and providing advice and guidance on council policy and procedure as required.2. Use the Financial Management System to raise and receipt purchase orders for the supply of goods and services, checking and coding invoices for payment, making procurement card purchases ensuring the timely and accurate monthly reconciliation in line with the corporate financial guidelines.
3. Monitoring the council's corporate social media accounts and working with the Communications and Engagement Team and colleagues across the council to create and publish content, engage with feedback, and respond to queries received.
4. Support the council's internal communications, publishing news for colleagues on the intranet and supporting with other internal communications activities.
5. Taking part in a rota to monitor for media coverage. Create, maintain, input and update records, spreadsheets and databases ensuring a high degree of accuracy, extracting data for management reports, including the retention and archiving of existing files in line with UKGDPR guidelines.
6. Provide general office and project based administrative support for a wide range of services using MS Office 365 packages and other service specific software.
7. Contribute to the design, development and improvement of specific administrative processes, systems, guidance notes and associated databases and spreadsheets.
8. Promote and communicate the introduction of new systems supporting all services across the council with the implementation of new technology providing guidance, assistance, and training in its use (including support with AV equipment in meeting rooms).
9. Be responsible for your individual training, development and knowledge of software and equipment as it is introduced, sharing experiences and knowledge with the team and other services.
10. Carry out any other duties as required by your line manager from time to time in accordance with the grading of the post.
