What you'll do:
The Duty Facilities Manager will assist the Operations Manager in the delivery of the site contracts, in line with divisional objectives, offering day to day client facilities management support.
Responsibilities include:
Facilities Management
* Overseeing FM works, ensuring safety and broadcast continuity
* Reviewing risk assessment method statements
* Working with the engineering team to manage contractors
* Attending daily facilities management meetings, weekly operations meetings, fortnightly business continuity meetings and monthly landlord meetings.
Projects / Small Works
* Weekly meetings with Campus Operations Manager to discuss office moves and changes, managing requests through the Statement of Needs process
* Managing projects with contractors from obtaining quotes from suppliers to completing job authorisation forms and tracking progress of ongoing projects.
Incident Management / Business Continuity
* Taking charge during emergency situations, including deploying staff and resources and supporting the security team
* Responding to incidents in line with incident handling manual, coordinating and managing planned evacuations
* Undertaking business continuity exercises and audits, seeking to improve plans and processes.
Health and Safety
* Complete and review COSHH assessments, including types of substance, health effects, task and duration of exposure
* Find hazards and report them
* Administering permits, including filming and vehicle access permits.
Compliance
* Undertake audits and inspections, including KPIs, first aid inspections and fire safety inspections
* Opening and closing work orders, chasing paperwork within SLAs
* Utilising the EMCOR information management system to ensure accurate documentation.
Person Specification
Who you'll be
* You'll hold a technical certificate or diploma, and an IOSHH or NEBOSH qualification
* You'll have experience of producing and reviewing risk assessment method statements (RAMS), alongside experience of managing the delivery of complex, high value facilities contracts, with both hard and soft services exposure
* You'll need strong IT skills, particularly Word, Excel, CMMS and helpdesk packages
* You'll have an excellent level of interpersonal and customer relationship skills, with an emphasis on accuracy
* You'll have excellent communication skills, both verbal and written
* You'll need the ability to sustain effective relationships by understanding the importance of professionalism, able to handle complaints effectively
* You'll be highly organised, able to plan and prioritise a busy workload
* You'll have drive and determination to accept challenges and strive towards departmental, personal and company goals
* You'll be reliable and resilient, accepting responsibility and taking ownership and accountability
* You'll need a detailed understanding of operational needs, having a thorough awareness of commercial implications of actions.
