Overall Job Purpose
Responsible for the management, strategy where applicable and execution of the tactical plan for the company's premises, Health and Safety and Facilities function. The perspective, analysis and actions will be both top-down strategic and bottom-up tactical, focused on the delivery and management of the company's facilities and infrastructure to the different needs and demands of the company's business; that are to the appropriate quality, robust, secure and scalable. This includes logistics, delivery and management of all services and maintenance aspects of the various premises and Divisions.
Will manage every facet of the Facilities Department, including its staff, support partners and suppliers while ensuring that a first-class support & infrastructure service is delivered. Will deliver multiple fast-moving projects including the provision of new facilities and infrastructure to a multi-site and business. The Manager will ensure the facilities team provides excellent service and meets the needs of the business and is able to adapt to internal and external commitments, future-proofing for significant continued growth.
In order to deliver a fast-moving site operations capability, will need to build, recruit and manage a multi-site site operations team.
Key Role & Responsibilities
* Scope, define and implement the company's agreed premises strategy;
* Manage multi-site Facilities and Health & Safety team;
* Drive strategic and tactical delivery of the company's facilities and infrastructure, across multiple locations;
* Proactively scope, manage and control the company's Premises budget, forecasting and reviewing on a regular basis.
* Scope, define, implement and manage the delivery of the Facilities and Health & Safety department against appropriate SLAs;
* Implement systems, policies & operational frameworks (including change control and prioritisation of projects) that deliver to a fast-growing business;
* Implement and manage the agreed Business Continuity Plan, conducting annual testing and reviews on a regular basis.
* Manage the company's compliance with its Health & Safety obligations.
Day to Day duties:
* Direct all facility services and logistics across the company nationwide portfolio, reviewing any technical issues that arise and providing the most appropriate, timely and cost-effective resolutions;
* Managing external Service Level Agreements for all hard and soft service aspects of the portfolio, the services provided and the contractors working on the company sites
o Raise issues relating to poor performance, excessive time spent and any trend of weak or inconsistent practice
o Seek out opportunities for improvement and efficiency
* Plan and coordinate schedules of planned technical maintenance and planned preventative maintenance routines for equipment, machinery, tools, buildings and engineering services across all the company sites;
* Direct premises operations in terms of property leases, agreed terms and landlord relationships ensuring all tenant covenants are met;
* Proactive engagement with the company's Divisions and Departments (including appropriate monthly meetings) regarding the company's nationwide property portfolio to oversee service provision and strategise future projects and improvements, providing technical guidance where necessary;
* Keep up-to-date with Health & Safety Legislation in respect of environment and plant and machinery and formulate appropriate policies and procedures
o Oversee relevant risk assessments being undertaken and oversee the provision of relevant Health & Safety training company-wide, including DSE assessments and First Aid and Fire training
o Act as company representative with Health and Safety inspections by the respective authorities
