BAND: 2
HOURS: 18.75 hours, Monday & Tuesday 8:30am-4:30pm (with a 30 min lunch) and Wednesday 8:30am-12:15pm

REPORTS TO: Hotel Services Co-ordinator (Community)
ACCOUNTABLE TO: Associate Director of Facilities and Estates (Soft FM)
JOB PURPOSE
The post holder will contribute towards a confidential and efficient reception and administration service communicating with clients and visitors to the site in person, as well as over the telephone. The role of the receptionist provides an invaluable service to our premise supporting all clinical and non-clinical teams to include taking messages, booking appointments, meet and greet service and ensuring a safe working environment.
Please note: There is a requirement that the successful post holder must be able to travel to other sites in the Stoke on Trent and North Staffordshire areas.
KEY RESPONSIBILITIES
1. Carry out general reception duties, responding to enquiries over the telephone and face to face from the public and other professionals.
2. Receive visitors/officials/contractors on behalf of the Trust and deal with their requirements as necessary.
3. Support with room bookings and allocation of rooms as required.
4. Taking and relaying messages both verbal and by telephone, prioritising as appropriate.
5. Liaison with staff at all levels throughout the Trust.
6. Use various clinical systems to support in the booking in of patients at various clinics/departments.
7. Meet and greet and book patients in as required on arrival.
8. Provide administrative support to health professionals of a confidential nature including sending sensitive reports under the direction of the Hotel Services Co-ordinator.
9. Data inputting and maintaining an effective office support system including filing and photocopying.
10. Report any breakdowns or maintenance problems to Facilities and Estates and ensure they are actioned in a timely manner.
11. Contact point for all contractors and general maintenance to the health centre.
12. Ensure health and safety standards are adhered to by all staff.
13. Support the day to day running of the building, e.g., cleanliness, assist with fire alarm testing and alarm issues.
14. Maintain and order supplies as required for service delivery.
15. Deal with incoming and outgoing mail.
16. Provide cover in other areas as requested.
17. Attend work-related meetings and training related to the role.
18. Use all Microsoft computer packages.
19. Track patient notes who attend clinic.
20. Deal with cash on site including selling of books, prescriptions, and maintaining documentation.
21. Arrange adhoc transport requests liaising with the appropriate department.
22. Undertake other duties as may be determined from time to time commensurate with the role.

PERSON SPECIFICATION
QUALIFICATIONS & TRAINING
* IT skills to RSA 2 level
* Educated to NVQ 2 level in office procedures (or working towards) or equivalent experience
* Good communication skills
EXPERIENCE
* Previous administrative and clerical experience
* Word processing and data inputting experience
* Ability to liaise at all levels
* Customer interface experience
* Problem-solving experience
* Computer literate
* Experience of working in the NHS
