Property Management Administrator
Liverpool

For over 30 years Downing have developed, built and managed bespoke residential and commercial schemes for a range of blue-chip companies, central government departments and leading universities throughout the UK. Following a period of significant growth, we are looking for an enthusiastic Property Management Administrator to join our property team based at our recently refurbished, modern Head Office in Liverpool City Centre.
We are seeking a highly organised individual with strong administrative abilities and experience in supporting dynamic, hands-on teams. The ideal candidate will possess excellent attention to detail, exceptional communication skills, and proficiency in various IT systems. Key Responsibilities:
* Process invoices and track budget expenditures in line with current systems.
* Collaborate with Finance colleagues for budget monitoring and reconciliation.
* Assist Facilities Managers with budget forecasts and year-end reconciliation reports.
* Manage purchase orders.
* Handle monthly recharging.
* Source and order consumables.
* Source and order basic property management services.
* Source and order basic reactive works services.
* Serve as the primary contact for contractors.
* Coordinate periodic and ad-hoc contractor site visits.
* Manage contract reports, remedial works, and certifications.
* Support Facilities Managers in maintaining web-based property Health & Safety compliance systems.
* Prepare Health & Safety reports from web-based compliance systems.
* Communicate with Health & Safety providers.
* Prepare reports and other necessary documents.
* Prepare and distribute agendas, record, and distribute minutes.
* Manage colleagues’ diaries using Microsoft Outlook.
* Perform additional administrative tasks as needed, including filing, photocopying, scanning, and typing.
Key Requirements:
* Proven administrative experience, ideally in a property or purchasing environment.
* Ability to effectively coordinate with team members.
* Strong knowledge of MS Office packages, particularly Excel.
* Experience with data inputting.
* Exceptional attention to detail and accuracy in all tasks.
