What is the role?
The ideal candidate will be a highly organized and proactive individual with a strong background in supporting executives at the C-suite or senior management level. This candidate excels in managing complex calendars, coordinating travel arrangements, and preparing reports, presentations, and communications. Adept at handling confidential information, they demonstrate strong discretion, attention to detail, and problem-solving skills while being able to think on their feet.
You will work directly with our CEO in supporting him daily with his work-life balance and the ideal candidate must be adaptable based on the entrepreneurial style of business we operate in.
Responsibilities of the role:
* Diary and inbox management
* Making complex travel arrangements including booking trips to both the UK and US
* Creating, reviewing and sending a variety of documents across our group of businesses
* Arranging meetings with the relevant parties upon request
* Communication to internal and external parties which will include both financial and legal documents
* Demonstrate professional persistence to help our CEO complete tasks, manage and attend meetings and meet deadlines.
* Organizing and preparing for Shareholder and Board meetings
* General ad hoc duties (which may include occasional catering requirements)
* Ad hoc personal duties including but not limited to assisting with family commitments, making trips to a nearby home address upon request and helping to arrange/organize any family occasions i.e. gifts, restaurant bookings, reservations
* Collating and gathering expenses, working closely with our finance team to ensure all records are kept up to date
* Working closely with the Executive Team to manage meetings and diaries in line with our CEO, along with monitoring their annual leave and expense approvals.
Candidate Profile:
* 2-3 Years experience in supporting at a similar level
* Time Management: an expert in managing multiple tasks and deadlines efficiently
* Excellent verbal and written communication skills, with experience liaising across departments and handling external communications
* A trustworthy and reliable candidate
* Adaptability: Capable of thriving in a fast-paced environment, managing calmly and adapting to the CEO’s changing needs
* Proficient in MS Office
* A formal education and subsequent undergraduate/graduate degrees are nice to have, but we are most interested in your total experience and professional achievements.
* Experience in market research methodologies.
* Quality presentation skills particularly in front of customers.
* Solutions-Oriented and Ability to think strategically and innovatively.
* Strong written and verbal communication skills.
