Transforming Britain’s railways is the centrepiece of the government’s transport agenda. With work happening at pace, and with considerable external industry and political interest, the role will suit a self-starter who is used to leading through fast-paced and exciting environments, keen to build effective working partnerships across the department, Whitehall and the sector, and support delivery of major reforms.
We are seeking an enthusiastic, high performing individual to take on the role of Personal Assistant supporting two job-share Directors working within the Rail Reform Directorate (RRD). You will play an important role in ensuring they are effective and efficient in the way they work, helping them to meet our departmental priorities.
The role provides a varied and challenging workload, supporting with managing diaries and meetings, responding to emails and promptly prioritising urgent correspondence. You will join a fast-paced environment and gain invaluable insight into how a large government department operates, where you’ll have the opportunity to build effective relationships with senior management and a wide range of internal and external stakeholders.
Responsibilities
Will include but not be limited to:
Effectively managing the diary and inbox of two job-share Directors to keep pace with rapidly changing requests, ensuring their time is handled effectively and appropriately including:
* Horizon scanning and looking ahead to anticipate requirements and workloads, remaining aware of changing priorities to ensure the right balance between activities to enable the Directors to carry out the full range of their duties and to give them breathing space in the day.
* Monitoring the inbox. Flagging Directors to actions needed and deadlines.
* Identifying opportunities, clashes and any preparation time required.
* Coordinating meetings including recurring meetings and all logistics such as room bookings and travel. Meeting/escorting visitors.
* Proactively identifying relevant papers and advice electronically (and sometimes in hardcopy) in advance of meetings, through management of the Directors’ OneNote on a daily basis.
* Building strong relationships with DG’s office, Deputy Directors and PAs both within RRD and the wider Rail Sector Transformation Programme as well as with colleagues in the wider Directorate and DfT more broadly.
* Treating sensitive and personal information with discretion and ensuring it is carefully managed.
