ISW, EXPERT WITNESS, MEDIATOR AND CO-PARENTING COACH
We are seeking an Operations and Referrals Coordinator to join our busy team.
Are you a well-organized, friendly energetic individual? Would you be able to support a lively team of professional social workers and therapists and, working with our virtual assistant, coordinate the referrals to them? Do you have a basic understanding of family law/divorce/separation and what might be needed to support our clients in making the best arrangements for their children?
We are a rapidly expanding specialist social work agency that works specifically with separating families and we need a really efficient administrator who is energetic, self-motivating and who can most certainly ‘hit the ground running’. We need someone with a helpful and non-judgemental attitude who is able to work with diversity and respect our clients as well as those working for CFS.
In this role, you will be the heartbeat of our operations, ensuring everything runs smoothly while helping to foster strong relationships with the lawyers and the families they represent as well as parents who refer themselves to our team. You will play a key role in coordinating referrals, assisting clients in their journey, and ultimately making a positive impact on our organization. Your ability to multitask and communicate effectively will be crucial in this position.
You will work closely with the management team to streamline processes and maintain a welcoming environment for both clients and staff. Your contributions will directly influence the efficiency of our operations and the satisfaction of those we serve. RESPONSIBILITIES
1. Coordinate all referrals to CFS including monitoring and responding promptly to emails that come in, ensuring timely follow-ups are sent.
2. Send out company documents and coordinate receipt of compliance documents, contracts, terms and conditions etc. to maintain accurate records.
3. Maintain and update a comprehensive database of client referrals and case progression.
4. Serve as the primary point of contact for clients and parents regarding referrals and operational inquiries.
5. Assist in the development and improvement of operational protocols and referral procedures.
6. Monitor referral outcomes when required and gather feedback for quality improvement.
7. Collaborate with the management team to address operational challenges and streamline workflows.
8. Join in weekly (or more frequent) “review of duty desk” meetings with the management team and specifically take direction from the Director of Operations or in her absence, the Director.
ESSENTIAL
1. Proven recent or substantial experience in operations coordination or a similar multi-faceted pressured administrative role.
2. Excellent IT skills including familiarity with and ability to use Microsoft Outlook, Teams, Excel and Sharepoint.
3. A basic understanding of the area of family law and social work in which we operate and an anti-discriminatory (including non-gendered) attitude to the needs of the parents with whom we work.
4. A willingness to learn and take on new ideas and concepts.
5. A willingness to attend (paid) training if needed.
6. Strong communication and interpersonal skills, with a friendly demeanour.
7. Excellent organizational skills and attention to detail.
8. Excellent communication skills including clear confident writing.
DESIRABLE
1. Higher Education/degree or equivalent
2. Numeracy / ability to work with invoicing software to support the bookkeeper
3. Ability to use MACbook Pro (laptop provided)
