The Receipt and Distribution Supervisor will ensure that the Receipt and Distribution team carry out their duties following departmental and Trust policies.
These duties will include supervision of staff and managing annual leave and sickness. The post holder will communicate with all users of the services on a regular basis to ensure the service specifications are being delivered to agreed standards.
Main duties of the job
1. Maintain effective and efficient records of all Receipt and Distribution, observing varying trends and evidencing them to the Supplies Team Leader.
2. Communicate daily with all users regarding any variation in services that may be required. Using judgement to rearrange priorities when necessary and in consultation with the Supplies Team Leader and implementing contingency plans as appropriate.
3. Understand and adhere to procedures for dealing with complaints and ensure they are dealt with promptly and sympathetically.
4. Attend daily briefing meetings with the Supplies Team and liaise with other staff.
5. Ensure time-keeping records are accurately maintained and any variances reported to the Supplies Team Leader. This includes accurate reporting of sickness, return to work discussions, appraisals, arranging special leave in consultation with the Supplies Team Leader.
6. Monitor the correct controls and uses of equipment and materials used in the department and escalate any concerns.
7. Ensure all staff attend statutory and mandatory training as required and be willing to attend courses to improve supervisory management skills, skills associated with all aspects of the job including health and safety at work and risk assessments.
8. The role involves a significant amount of walking, manual handling, unloading and unpacking goods from cages from time to time.

Job responsibilities
* Maintain the confidentiality of information about patients, staff and other health service business in accordance with Trust Policy.
* Provide effective communication and to support and facilitate all types of meetings which have relevance to the operation of the department.
* Aid Hospital staff, visitors and patients when faced with difficult situations caused by third parties, following Trust policies and procedures.
* Guide and direct visitors and deal with telephone calls in a helpful and friendly manner, taking written notes of any relevant information.
* Investigate and resolve complaints speedily and effectively, keeping a positive image of the department even when feedback is less than positive.
* Take a leading role in any departmental Information Technology initiatives.
* Provide advice and support to the R&D team.
* Receipt goods delivered to the Trust and arrange distribution accordingly in a timely manner.
* Collection and safe transportation of Hospital equipment around the Hospital.
* Ensure goods requiring return to suppliers are dealt with swiftly and in accordance with set procedures.
* Utilise and monitor the e-procurement system and produce reports from the system.
* Input hours/sickness/annual leave on the rostering system.
* Day-to-day supervision and co-ordination of receipt and distribution staff, including allocation of work.
* Ensure departmental protocols and ethics are maintained including: time keeping; dress code; cleanliness; infection control; positive attitude to patients; visitors and colleagues alike in accordance with departmental processes and the Trust's vision and values.
* Set staff rosters, plan appropriate levels of annual leave within the team and maintain best use of resources at all times.
* Train new or inexperienced staff, including in the safe use of equipment or the introduction of new techniques or processes.
* Provide assistance to patients and visitors during incidental contact.
* Attend mandatory training updates as required.
* Undertake training as necessary in line with the development of the post and as agreed with the line manager as part of the personal development process.
* Achieve and demonstrate agreed standards of personal and professional development within agreed timescales.
* Identify own learning needs and jointly plan training requirements with your line manager.
* Participate in the Trust's appraisal process to discuss how your role will help deliver the best possible care to our patients and help to deliver any changes in service.
Person Specification
Experience/Qualifications
* oNVQ Level 3 in Logistic Operations (or similar subject) or Management, or equivalent experience in a similar role.
* oExperience of staff supervision.
* oProblem solving skills & Good literacy and numeracy skills.
* Previous experience in a logistics role.
