We are now recruiting for an Asset Handover Coordinator to coordinate stakeholders through the various stages of our expansion project, ensuring effective communication and alignment on asset handover requirements.
You will support the asset handover certification process by verifying documentation accuracy and ensuring compliance with regulatory and operational standards.
In addition to this, as our Asset Handover Coordinator you will assume responsibility for:
Stakeholder Coordination:
* Serve as the primary contact for stakeholders, including West Midlands Combined Authority (WMCA), Transport for West Midlands (TfWM), Midland Metro Alliance (MMA), and internal teams.
* Facilitate effective communication to align on asset handover requirements and timelines.
* Organise regular meetings, updates, and progress reports to keep stakeholders informed.
* Implement a formal escalation process for resolving missing or disputed asset records in collaboration with WMCA, TfWM, and MMA.
Information Readiness:
* Collate, verify, and prepare asset-related information for handover.
* Use Bentley ProjectWise for document control, ensuring information is organised and accessible.
* Collaborate with WMCA, TfWM, and MMA to ensure data completeness and accuracy.
* Adhere to document management procedures and legal/regulatory requirements.
* Conduct ongoing quality assurance of documents.
* Work with AMIS administrators to structure asset information for maintenance planning and long-term use.
Handover Management (BIM/ISO 19650):
* Implement document control processes in compliance with BIM (ISO 19650) standards.
* Oversee the exchange of asset information using Bentley ProjectWise.
* Maintain a data exchange schedule to ensure smooth handovers with all teams.
Asset Handover Certification Process:
* Coordinate asset identification and labelling through site visits.
* Conduct final checks and site verification inspections.
* Assist in managing the asset handover certification process, ensuring documentation meets legal and regulatory standards.
* Support audits and verification of asset information within ProjectWise.
* Archive certification documentation (e.g., Health & Safety files, red-line drawings, as-built drawings) for future reference.
* Perform monthly quality reviews of asset records, O&M manuals, and compliance certifications.
* Identify and mitigate risks associated with the asset handover process.
* Ensure compliance with safety, legal, and regulatory requirements.
* Maintain a risk register to track compliance gaps, assign resolution ownership, and monitor due dates.
To be successful in this role, it is essential that you have:
* Professional experience working with large-scale infrastructure, highways or metro projects.
* Familiarity with other project management tools or platforms used in document control.
* Knowledge of asset lifecycle management and its integration into document control practices.
* The ability to work alongside other teams and manage their expectations effectively.
* Excellent interpersonal skills alongside strong attention to detail.
* The ability to establish and develop relationships with key stakeholders.
It would be great if you had:
* A working understanding of BIM ISO 19650 standards and their application to asset management and document control.
* Professional working experience with Project Management, Information Management or a qualification in a relevant field.
* A working knowledge of Bentley ProjectWise for document management and information control.
* Knowledge of MS Sharepoint for document management and information control.
