About the Role
The role of Facilities Administrator / Receptionist will be based at our ACE Winches facility in Turriff, with impressive state-of-the-art facilities all powered by wind. This position will be Monday to Friday, on a part-time basis.
As Facilities Administrator/Receptionist, you will be essential in proactively supporting both the office and workshop facilities by coordinating planned and ad hoc maintenance programs to reduce downtime across business operations. You will also ensure that the workshop and office facilities adhere to company standards and accepted practices and will be the main point of contact for all site-related facilities matters, proactively supporting the smooth functioning of the entire facility.
Responsibilities
* Liaising with third parties for facility/plant maintenance and repairs and coordinating with site handyman to ensure timely completion of maintenance tasks
* Working with the Supply Chain Team to obtain quotes and place orders for parts and services
* Ensuring supplier and contractor vetting procedures are followed
* Working with workshop teams to maintain accurate plant and equipment maintenance records
* Updating departmental and equipment registers regularly and issuing maintenance reminders and related paperwork
* Managing office equipment stock, including stationery and refreshments and arranging hospitality packages for events, meetings, and training
* Maintaining company noticeboards both physical and digital
* Providing reception services, including answering calls, processing mail, and welcoming visitors
Experience Required
* Strong knowledge and experience working with all Microsoft 365 applications
* Background in administration within a multi-disciplinary environment
* Excellent interpersonal skills with the ability to communicate effectively, both in writing and verbally, with management, colleagues, contractors, and various external stakeholders
* Knowledge of legislative requirements for heavy plant and machinery is beneficial
* Familiarity with CDM regulations would be advantageous
