Job Responsibility:
Whistlefish is a leading art and greetings card retailer in the South West. We sell a wide selection of cards, art prints, canvas art, wrapping paper, and gifts direct to customers through a network of 12 galleries and a prominent online presence.
Due to the growth of the company, we are seeking a proactive and detail-oriented Finance and HR Assistant to join our team. The successful candidate will support the Financial Controller in various finance and HR-related tasks. This role is ideal for someone who thrives in a dynamic environment, with excellent organisational skills and a positive attitude.
As the Finance and HR Assistant, you will be responsible for:
1. Managing the monthly payroll process for employees across our galleries, factory, and head office, ensuring accuracy and timely submissions.
2. Processing supplier invoices, maintaining the AP ledger, and scheduling weekly payment runs, ensuring suppliers are paid on time.
3. Recording customer payments and maintaining the AR ledger, including producing monthly statements and monitoring aged debt for timely collection.
4. Performing regular bank reconciliations, including Paypal and credit card control accounts, to ensure accuracy and proper cash flow management.
5. Assisting the Financial Controller in preparing management accounts and supporting schedules, contributing to accurate financial reporting.
6. Supporting company internal control procedures by ensuring compliance with established policies and assisting in monitoring adherence to these controls.
7. Providing general HR and administrative support to the management team, including assisting with recruitment processes, maintaining employee records, and supporting other HR functions as required.
Qualifications and Experience:
1. Proven experience as a Finance Administrator or in a similar role.
2. AAT qualification or equivalent is desirable but not essential.
3. A positive, can-do attitude with a strong sense of initiative.
4. Excellent numerical and analytical skills.
5. Proficiency in Microsoft Office, particularly Excel.
6. Meticulous attention to detail with strong organisational abilities.
7. Knowledge of financial regulations and compliance procedures.
