The Office Administrator is primarily to manage and issue crew travel to MRE’s marine crew and supporting the shoreside vessel’s department in all administrative needs.
Duties and Responsibilities:
* Arrange accommodation, travel, and transport for all marine crew in line with MRE policies.
* On-call support for marine crew when they are travelling should there be disruptions, inline with crewing duty rota.
* Managing office travel where required, in line with MRE policies
* Assist the Crewing Manager in collecting relevant information from new crew for issuing their SEAs.
* Assist with monitoring and ensure all crew certification and training is in line with Flag/Client/MRE requirements.
* Work closely with the Crewing Manager ensuring all crew meet their training requirements.
* Management of crew workwear and PPE inline with uniform allowances.
* Work closely with the Crewing Manager providing cost updates on a regular basis.
* Track & administrate all vessel IT equipment, including laptops, phones, dongles and associated contracts
* Support the Vessel’s office department where required
* Managing inventory of office supplies, including stationery and multimedia equipment to ensure smooth office operations
* Check weekly SOLDO spreadsheets are up to date with vessel’s SOLDO accounts.
* Assist vessel department admin and all other general tasks as and when required.
* Assist as required by chartering manager in the upkeep of enquiry logs and data logging on sales forecast.
* Ensuring cover is in place for own absence, and office handover form completed.
Qualifications, Skills and Abilities:
* 1-2 years proven experience in a related role
* Excellent time management and multitasking skills
* Good communication and interpersonal skills – ability to speak and write in a clear, concise manner, making direct calls by telephone.
* Able to organise and prioritise own workload.
* Ability to work independently and as part of a team
* General computer skills including the use of Microsoft Word, Excel, and PowerPoint.
* Organisational skills – a high level of attention to detail and focus on accuracy is vital, as is the ability to plan ahead and manage competing priorities.
* Problem solving skills – ability to think laterally to provide prompt, practical, cost-effective solutions to challenges and problems.
* Proactive - able to assess the needs of each assignment, to take initiative but also to be unafraid to ask for help when required.
Competitive remuneration package with 25 days holiday + bank holidays a year, pension, with a competitive starting wage dependant on skills and qualifications. Full time 37 ½ hr week. Full training & support will be provided where necessary and appropriate.
