MAIN PURPOSE OF JOB: The primary purpose of the post is to provide professional, comprehensive and flexible administrative support in this ‘hands-on’ position. In addition, you will assist the TFAS Compliance Manager in delivering an effective service and ensuring this remains compliant with regulatory requirements. OUTLINE OF DUTIES: Compliance Admin/Support: To carry out a complete range of administrative tasks under the direction of the TFAS Compliance Manager. Duties may include, but are not limited to: Creating, preparing and distributing documents, and responding to correspondence in an appropriate manner ensuring these are formatted in line with the services. Undertaking regular file and databased audits, conducting assurance meetings and compiling internal audits and reports for the services. This includes chasing missing documentation and outstanding actions. Identifying potential compliance risks and working proactively to mitigate these, escalating to management when required. Ensuring policies and procedures are up to date and available for staff. Other aspects of administration include (not exhaustive) filing, shredding, scanning, office maintenance, dealing with post, answering phones, data inputting, auditing, chasing missing paperwork etc. Safeguarding: To understand and familiarise self with the Safeguarding process and ensure that all occurrences (accidents, incidents, allegations, complaints etc.) are collated, copied and processed, in line with organisational policy and procedure. Meetings: Attendance and participation at meetings as required and ensure accurate, detailed and appropriate minutes and actions are produced (including face-to-face, virtual and conference calls). Liaising with External Parties: To accurately distribute documentation and reports as and when required and in line with regulations and ensure these are recorded. Produce accurate submissions for Ofsted as well as sending updated company material as and when required. Statistical Information: To provide clear/accurate statistical information as required. Reporting and Database Inputting: Manage, organise and update relevant data using database applications and excel. Ensuring records and reports are maintained, accurate and necessary. Regulatory Compliance Support: Ensure all admin functions are compliant and assist the TFAS Compliance Manager in preparation for regulatory inspections and/or tender submissions. You will also be required to ensure you keep up to date with any changes in legislation that may affect the services and compliance needs. Data Protection: Work within the provisions of the Data Protection Act and the Company’s Data Protection Policies and Procedures, abiding to strict confidentiality in relation to all aspects of work undertaken. Health & Safety: To be aware of and work within the Company’s health and safety policies, relating to the working environment and building security, reporting any issues promptly to your Line Manager. You will also need a good understanding of the Health and Safety requirements within the services and monitor these during audits and assessments. Training & Development: Develop personal skills and capability through on-going training as provided internally by the company or externally subject to company approval and as agreed with your Line Manager. Office Cover: To provide cover in the absence of other staff as directed and support in setting up rooms for training/meetings as and when required for the services. ADDITIONAL RESPONSIBILITIES: The nature of the Therapeutic Family Assessment Service means that tasks and responsibilities can vary to support the needs and requirements. Staff are therefore expected to work flexibly when the occasions arise where tasks, which are not specifically covered in the job description, have to be undertaken. On occasion, travel to other offices may be required to attend induction, training or meetings.
