Job Overview This role has responsibilities aimed at improving and maintaining the quality of data held within the Trust’s clinical systems (e.g. SystmOne, IAPTUS) for Community and Mental Health services in Milton Keynes. This will include system training and support, auditing patient health records, data entry / data corrections and a level of project management. Working closely with staff within Milton Keynes Clinical Services the post holder will need an understanding of NHS services and key performance indicators (KPIs). Main duties of the job Assist with driving performance issues as directed by Line Manager to enable clinical services to meet targets such as the Performance Scorecard. The post holder will work as an integral part of the Data Quality Team, supporting Community and Mental Health clinical services for older adults, working age adults, young people and children across Milton Keynes. Working closely with staff within Milton Keynes Clinical Services the post holder will need an understanding of NHS services and key performance indicators (KPIs). Main Responsibilities of the role include the following: Assist with driving performance issues as directed by Line Manager to enable clinical services to meet targets such as the Performance Scorecard. To have the authority to support staff in achieving these through communication and training Work with clinical services and support functions to enable high quality and sustainable data entry requirements across the system in line with local and national standards Carry out audits of patient health records, identifying data quality issues and work with services to support with improving processes, to avoid recurrence Support our Data Quality Networks/drop-in sessions/data quality clinics and be prepared to facilitate sections of the meetings To explore and suggest ways of responding to data quality issues Support management requests (sometimes with short notice) and respond in a timely manner to improve data quality issues Support the team’s Clinical Systems Trainer(s) with the delivery and evaluation of service specific training across Milton Keynes and be prepared to cover in times of absence Provide on-site data quality and data entry floor walking support as needed across clinical services Use appropriate tools to produce data quality and clinical systems support documentation for clinical services Develop an all-round knowledge of clinical services across MK and work with teams to produce, and maintain process maps to be made available to them to support with sustainable improved data entry Use knowledge and clinical systems expertise to provide caseload support to staff to enable them to manage their caseloads and improve accuracy and quality of patient records Be responsible for managing small projects, delivering to time and quality, using information to identify problems and working with others to create and implement solutions Follow Trust procedures and protocols when inputting data into clinical systems Liaise with internal teams, for example the Information team, Clinical Services, Business and Transformation, ADT, CSST and Digital Skills as and when required Escalate any new data quality issues to line manager as soon as possible Act as a Tableau ‘champion’, supporting services to get the best possible outcomes from this BI solution Use the Trust’s Business Intelligence solution (Tableau) to source information as required Communicate information clearly to non-analytical professionals Assist with training new members of the team when required Contribute to the maintenance of a suite of Data Quality Team reports Handle all patient identifiable data in a secure and appropriate manner and to always apply Information Governance principles This is not an exhaustive list of duties and responsibilities and the post holder may be required to undertake other duties which fall within the grade of the job, in discussion with the manager. Person specification Essential and desirable Essential criteria GCSE English and Maths Grade C and above or other equivalent qualification. Experience in a similar role where auditing records to identify data quality issues and suggesting solutions has been a key element of the role Experience of providing/supporting systems training and/or caseload support. Proven experience of building good relationships with others to make a difference/implement a change. Good understanding of Key Performance Indicators. A comprehensive working knowledge of Microsoft Office software, for example Word, Outlook but predominantly Excel. Ability to work under pressure plan and prioritise workload with a flexible approach to constantly changing priorities. Confidence to work on own initiative and to consult as needed. Excellent understanding of data quality and the causes, and impact of poor data quality. Excellent communication skills, both written and verbal for colleagues working at all levels. Resilience; ability to deal with sensitive information. Evidence of personal development. Ability to exercise discretion and maintain confidentiality at all times. Desirable criteria Experience of designing and producing training documents and newsletters. Experience of supporting project management. Previous experience within an NHS or local authority setting. Knowledge of local clinical services. Numerate and able to provide statistical data clearly and accurately. Knowledge of NHS Data Sets, e.g. MHSDS, CSDS. Understanding of the Data Protection Act and issues around Confidentiality. Ability to work positively and flexibly within a team.
