The Role:
You will be required to work as part of the reception team and will process all incoming telephone calls with no undue delay and in a courteous and helpful manner. Similarly, as a receptionist, to receive and process all clients and visitors to the firm, in a helpful, friendly, and professional manner. In these respects, there is a high degree of responsibility to always project the image and ethos of the firm.
* Effective processing of all incoming telephone calls and conveying of messages.
* Offering provision of telephone support to partners and other employees as required.
* Greeting all clients and visitors who enter the reception area and dealing with their enquiries in an efficient and professional manner.
* Prepare refreshments for business/client meetings.
* Monitor and replenish items in all interview rooms on the allocated in the office.
* Informing the relevant Partner or employee that their visitor and/or client has arrived.
* Ensure the tidiness of the reception area.
* Make overseas calls and log the destination and fee earner making the call.
* Calculate daily totals of new enquiries, enter data onto a spreadsheet and send at the end of a working week to all HOD’s.
* Copy client ID and certify original copies.
* Accept cheques and prepare receipts.
* Action emails that are sent to the TE info@ email address.
* Efficient use of case management to facilitate the efficient handling of incoming calls and queries.
* Check and maintain stock levels of pads and pens in meeting rooms.
* Collect DX & Royal Mail, Open, date stamp and sort DX / Post.
* Prepare & deliver post and dx each evening.
* Photocopying black and white and colour documents, bundles & complex plans for Conveyancing.
* Carry out hand deliveries and collections.
* Ensure the fax machine is operational, distribute faxes to individuals and carry out faxing on instruction.
* Scan and email documents.
* Carry out stock checks and replenish items including stationery, kitchen, and bathroom supplies.
* Monitor the contract cleaning carried out every morning and report to the Facilities Manager any concerns.
* Work as a team on reception to ensure cover is always provided for one another.
* To undertake other clerical and administrative duties as may reasonably be required from time to time.
Job Share Receptionist:
This role is based in our Sheffield Central and North Office and the successful candidate will be required to work Monday to Friday 8:30am to 5:00pm with 45 minutes lunch (37.5 hours per week) to support the Sheffield Central and North Office with front of house, reception, telephony and general administrative tasks for the legal teams based in the office to provide a first class client and customer experience.
The successful candidate will work as part of a small reception team and will process all incoming telephone calls, be the first point of contact for all clients and visitors to the firm in the Sheffield Central and North Office along with supporting with various administrative tasks required within the Sheffield Central and North Office. In this respect, there is a high degree of responsibility to project the image and ethos of the firm at all times.
