Youre passionate and enthusiastic about your work and you are happy to get stuck in and deliver outstanding results You are self-motivated, have huge drive and ambition you thrive off achieving great success and helping to build a great place to work MAIN WORKING RELATIONSHIPS The Transport Administrator will report to the Contract Manager and work closely with the Transport and Warehouse team. GENERAL PURPOSE OF THE POSITION The aim of this position is to support the operational function, relieving their current administrational requirements due to the significant increase in vehicles on the contract. Whilst ensuring that the presentation of delivery paperwork is accurate, making sure all information is checked/recorded correctly on both Woodland TMS and Naylors system, avoiding discrepancies and the need to produce credits. ESSENTIAL DUTIES AND RESPONSIBILITIES Front of house Dealing with all outbound loading tickets ensuring Mandata is updated correctly, and information checked and invoiced correctly on Great Plains, whilst generating the delivery paperwork. Working closely with the Planner and Naylors despatch to ensure all loads are loading in time and in the order which best suits the outbound plan. Also liaising with 3 rd parties to advise what trailers to have been loaded. Booking In Ensure all customer booking in requirements are met, any issues regarding booking in are reported to Naylors and ensuring Woodlands Planner is made aware. Paperwork Ensuring all drivers are debriefed making sure all paperwork is correct and has relevant signatures making sure all PODs are matched with Mandata and scanned onto the system. Supporting with the management of PDA usage. Invoices Checking all PODs against 3 rd party invoices, ensuing all paperwork is present and rates match. Once all checked all invoices are to be processed on Mandata Dealing with any discrepancies direct with the customer. PODs Dealing with POD enquiries from Naylors and any 3 rd parties requests. Other Work on ad-hoc and contract specific projects as required by the Contract Manager; Any other duties as required by management for the smooth and efficient operation of the department. CONTINUOUS IMPROVEMENT Work with the transport team to continually improve processes and business performance; Support changes in the role necessary to take the department and business forward; and Work to achieve personal objectives set at appraisal and/or those set monthly or quarterly.
