Forest Healthcare Ltd, a Healthcare provider based in Borehamwood, Hertfordshire is looking for a full-time (37.5 hours) Facilities Support Officer to join our team.
As a Facilities Support Officer, you will be responsible for the administration and coordination of the Property and Estates service for all Forest Healthcare sites.
Location: Primarily working from home, with some site travel required.
Principal Duties and Responsibilities:
* Responsible for Facilities Administration tasks.
* Managing Estates PPM ensuring contractor's bookings are made for yearly, monthly, and weekly servicing and ensuring all dates are booked in the contractor’s calendar.
* Record all contractor documentation for compliance yearly.
* Collating service reports, updating schedules and seeking quotes for repairs.
* Taking ownership of Facilities tickets and allocating out to the maintenance team.
* Liaise with suppliers/contractors to arrange on-site attendance for call-outs when issues arise.
* Being a point of contact for Forest Healthcare staff regarding estate issues.
* Managing the Facilities Inbox.
* Assist the Head of Property and Estates and Facilities Manager to ensure the smooth running of the Estates/Facilities.
* Responsible for placing orders, and raising purchase orders for equipment or works that need to be carried out.
* Managing the Estates credit card.
* Actively assist with auditing homes for compliance.
* Proactively deal with ad-hoc tasks.
* Liaise with wider Estate/Facilities team/managers and provide support when required.
* Organise Estates meetings, book rooms, take minutes and circulate in line with the Terms of Reference.
* Minute meetings when required regarding Health & Safety, Medical Gas & Water Safety Group Meetings, Medical Devices Working Group Meetings, Fire Risk Audits.
Job Requirements, Experience and Behaviours:
* Proficient in the use of computer packages including Microsoft Office suite, and willingness to learn new ICT programs and systems as required.
* Experience in reporting from a database or spreadsheet in daily work.
* Experience in database management.
* Wide-ranging office administration experience, with a mature approach to assessing situations quickly.
* Significant experience in a similar role, excellent organisation skills.
* Confident with strong communication skills and the ability to interface at all levels.
* Calm manner with the ability to work independently under pressure.
Previous experience in a similar role is essential.

Pay: £30,000.00-£35,000.00 per year
