Overview
Arcus are recruiting for a Account Support Analyst to support the Account Director in the delivery of a major FM contract. This is an exciting role in which you’ll ensure the commercial activity both linked to day-to-day operations and commercial performance is both profitable, managed and on target.
Responsibilities
The candidate will support in delivering accurate invoicing in line with client requirements for both subcontractors and Arcus. You’ll work with key contactor stakeholders to ensure invoice are loaded on time, in line with requirements, and able to be submitted on each monthly application without rejection. Aligned with this, the successful candidate will mitigate performance where required to financially protect Arcus from delivery service credits.
Other responsibilities include;
Working with key stakeholders, manage incorrect/rejected invoice submissions, verify, and correct invoices to ensure accuracy in financial transactions that meet the requirements of all parties. If an error is found, you will work with the suppliers to clarify the issue resolve and support on resubmission.
Key point of contact for the supply chain to address and resolve identified invoicing issues.
Complete regular reviews to identify rejection trends and subcontractors that are regularly failing to meet the criteria.
Work with the OCS and finance team to ensure work orders are submitted on the month applications without client rejections.
Support the Account Director and prepare data to be provided in the monthly governance pack on performance and invoicing statuses.
Work with the Account Director, account managers and finance team to review month end data to ensure adherence to process and accuracy of data, including KPI mitigations / service credits
Support account managers to resolve any commercial issues with quotes, producing reports and trackers as agreed with the team
Work closely with the clients nominated helpdesk and CAFM management system to make sure processes are understood and followed whilst identifying better ways of working that support the client and Arcus.
Ensure regular reviews are carried out on the following highlighting areas of concern and suggesting alternative ways of working: - Integrity of systems, procedures and processes - Commercial compliance of systems, procedures and processes and their effectiveness - Interaction between business functions when operating to the above
Identify opportunities where change to process, or behaviour, will increase revenue/profit
Requirements
The successful candidate will have experience in both commercial and administrative environments, and be able to analyse and manipulate complex data to track and report on key metrics
Other requirements include;
Experience of working in partnership with finance on P&L and budget
Strong communicator able to build positive relationships with all the clients – can provide accurate data in the format required by our client and can persuade and influence them to get the right outcomes (approvals, decisions)
Experience at presenting key data
Collaborative and able to act as gatekeeper for commercial activity
Ability to interrogate data, mainly using Excel, and excellent knowledge of Microsoft Office, Excel, Word, PowerPoint
Working knowledge of Microsoft Vision or other process/workflow mapping software
Ability to operate specialist software/systems
Excellent communication skills both written and verbal
Good analytical skills and deadline driven
Deliver tasks with a high degree of accuracy
Team player but capable of working on own initiative to fully understand implications of changes and effective working methods
Excellent organisational skills
Outstanding customer service skills
