Responsibilities
* Ensure an effective programme of planned maintenance is in place for all sites across Sheffield Museum Trust so that facilities & buildings are legally compliant & efficiently managed to agreed standards & performance levels.
* Lead on the resolution & repair of unexpected buildings & facilities faults.
* Work with the management team to ensure that effective & legally compliant health & safety procedures are embedded & embraced by the organisation.
The Bigger Picture
* To be responsible for the development & implementation of planned maintenance programmes across all sites & facilities including regulatory & statutory checks.
* To manage SMT’s relationship with key maintenance contractors & partners.
* To maintain asset management records for all major systems & the sub-elements of those systems.
* To ensure best value in all planned maintenance programmes & in the commissioning of any works that result from maintenance visits.
* Ensure the efficient operation of site Building Management Systems & environmental controls.
* To coordinate with contractors & Site Management teams in the planning & delivery of maintenance works.
* To support the Head of Operations on the planning & delivery of major buildings improvement projects.
* To lead on health & safety standards across all sites to ensure that at least minimum standards of safety as identified by SMT & regulators are complied with.
* Manage & maintain safety records relating to accidents, incidents, near misses & critical situations, identifying any trends & proposing corrective actions.
* Undertake safety audits & inspections, reporting any concerns or required corrective actions to SMT’s management team.
* Manage & maintain appropriate databases to ensure prompt & accurate reporting of buildings performance, safety & environmental impact.
* Use internal finance systems to raise requisitions, orders, monitor invoices & ensure the prompt & correct payment of contractors & suppliers.
The Day to Day
* Meet on site with contractors to investigate buildings issues, plan upcoming works and repairs and sign off completed works.
* Maintain a Maintenance Schedule of current and lead time estate and facility projects.
* Liaise with colleagues to plan upcoming delivery of works, arrange access and monitor contractor performance.
* In collaboration with Sheffield Museums Trust’s Competent person, undertake safety and audit inspections.
* Administration – finance, databases and reporting
* Requesting and evaluating quotes and tenders for proposed works.
* Preparing and presenting reports for Trustees, Directors, Management Team and colleagues.
* Incident reporting and investigations.
* Updating asset lists and operating procedures.
* To be available for out of hours emergency call out at all sites as appropriate.
* To undertake such other reasonable duties as may from time to time be required of the post holder.
