* The post is full time over a 5-day week with the potential for flexible working arrangements.
* To be a key member of the Medical Education Team with responsibility for the diary management of the Medical Education Manager and Director of Medical Education.
Main duties of the job
* Provide administration support to the Medical Education Manager & act as central point of contact for all enquiries to the Medical Education Manager.
* Work as an integral member of the Medical Education Team, providing cover for colleagues as and when necessary.
* Provide support to all areas within the department (Undergraduate office, Foundation team, Postgraduate team and Quality team) as directed by the Medical Education Manager to ensure efficient running to achieve departmental objective of providing quality Undergraduate and Postgraduate medical education.
* Liaise with external stakeholders to organise conferences as required to include booking venues, catering, inviting delegates and circulating programmes.
* Provide secretarial support coordinating and arranging meetings, confident minute taking, ability to follow up action points.
* Identify issues promptly, have the ability to problem solve within remit, escalating to line manager where unable to resolve.
* Process orders via Oracle, liaise with finance, raise petty cash remittance.
* Collect, collate and circulate, as appropriate, specific information required by the Manager, including study leave, appraisals, annual and sickness leave.
* Update electronic calendars and prepare resources ahead of meetings.

Job responsibilities
The post holder will provide comprehensive administrative and secretarial support to the Directorate Manager and the Director of Medical Education.
To provide support to the Medical Education Manager and Director of Medical Education in formulating directorate plans, policies, and strategies, and monitoring arrangements for their implementation.
To provide an efficient, effective, and robust secretarial service to the Medical Education Manager, including arranging meetings, agendas, circulating papers, minute taking, managing diaries, taking messages, and general office duties.
To process orders via Oracle, liaise with finance, raise petty cash remittance.
To collect, collate, and circulate, as appropriate, specific information required by the Manager, including study leave, appraisals, annual and sickness leave.
Liaise with external stakeholders to organise conferences as required to include booking venues, catering, inviting delegates, and circulating programmes.
To work with, and provide cover for, other admin staff, if required, within the department.
Any other duties appropriate to band and post as requested by the Manager.

* Demonstrable knowledge of Microsoft Office Packages.
* NHS experience.
Qualifications
* NVQ 3/or equivalent qualification/or demonstrable relevant equivalent experience gained in an administrative/secretarial role.
* GCSEs grade A-D (9-4) including Numeracy and Literacy or equivalent.
Physical Skills
* Moving and handling.
* Ability to sit at workstation to perform the post.
* Concentration required for checking data and computer inputting.
