Job overview
To provide administration as the main contact for the Trust ID card services and clerical support to the division as required.
Maintain good communication and working relationships with all colleagues whilst acting professionally.
Main duties of the job
1. Act as the main point of contact for all services related to the Trust ID card service within the security Department.
2. Ensure all ID card request forms are correctly completed and authorised by departmental manager and proof of identity.
3. Resolve problems relating to ID card queries.
4. Provide any information/reports to Security Manager upon request.
5. Comply with all departmental procedures.
6. Organise and prioritise own workload.
7. Plan for seasonal door access control system changes as and when required.
8. Plan workload to ensure ID cards can be produced and issued for large staff changeover events.
9. Ensure all ID cards are de-activated when staff members leave employment and disable ID cards when lost or staff member on long term absence.
10. Organise and service internal and external meetings.
11. Ensure all paper and electronic records are maintained and backed-up regularly.
12. Undertake any scanning of documents and save accordingly.
13. Assist in the ordering stationery for the department.
14. Identify and report to manager any equipment failures.
15. Identify to manager any recognised cost savings.
16. Ensure that financial procedures are maintained when replacement ID cards are issued.
17. Reports of faults to access control doors must be investigated as a matter of urgency.
18. Override door access controls to Secure/Lock/Unlock as requested by departmental Manager, Security Manager or Clinical Site Management team.
Person specification
Experience/Qualification
* GCSE Math and English (A-C).
* Experience working in an NHS environment.
Skills
* Evidence of having undertaken own development to improve understanding of equalities issues.
* IT literate, proficient in Word and Excel, organised, professional.
* Ability to produce computer system data reports.
* Ability to review computer data to assist with fault finding.
* Ability to follow instruction and follow policies and procedures.
* Understanding the need to be efficient.
