We are seeking a skilled, proactive, and highly motivated Workshop Coordinator to support our Transport and Workshop team in driving an efficient, high-performing workshop operation. We are looking for a dynamic professional with a proven track record in a coordinator role, ideally with experience in workshop activities, team coordination, and delivering exceptional service to both internal and external stakeholders.
In this role, you will work closely with the Workshop & Transport Manager, and the Workshop Supervisor to manage a team of five technicians responsible for maintaining a diverse fleet of over 150 vehicles, including both light and heavy-duty vehicles. You will play a critical role in ensuring the workshop runs smoothly by streamlining schedules, managing bookings, and fostering an environment that supports safety, efficiency, and high performance.
This role is open to candidates who are looking for a full or part-time position between a 30-40 hour work week, offering flexibility between 9 am and 3 pm. However, occasional flexibility is available to accommodate varying needs. Hours are negotiable.
As Workshop Coordinator, your core responsibilities will include:
* Develop and manage workshop schedules, ensuring fitters are allocated effectively to meet workload demands.
* Oversee and coordinate bookings to maximise workshop efficiency.
* Serve as the main point of contact for internal and external stakeholders, ensuring clear, proactive communication and service.
* Conduct and manage monthly stock takes during office hours, ensuring inventory accuracy.
* Complete license checks and manage internal recharges to maintain compliance and operational efficiency.
* Track and verify mandatory checks to assist in KPI reporting, ensuring accurate, up-to-date records.
* Handle departmental administration, including documentation, reporting, and other ad hoc support tasks.
* Support the team and undertake additional duties as required, contributing to a collaborative and flexible workplace.

Experience & Skills:
* Exceptional planning, prioritisation, and time management skills, with the ability to manage multiple tasks efficiently.
* Strong attention to detail with a commitment to accuracy in scheduling, reporting, and inventory.
* Proficiency in Microsoft Office; experience with workshop management software (R2C) is advantageous, though training will be provided.
* Excellent interpersonal and communication skills, able to work effectively with various stakeholders.
* A flexible and adaptable approach, with the ability to handle changing priorities and work well under pressure.
* Able to work independently, take initiative, and make sound decisions in a dynamic environment.
