Block Property Administrator, Cardiff
Our client is one of the leading Property Management companies in South Wales and as they continue to grow, they are looking to recruit an experienced Administrator to support their Block Managers and be the initial point of contact for any queries from Leaseholders, Contractors and Solicitors.
Main duties as Block Property Administrator:
* To provide front line admin and customer support on behalf of the Block Management Team and be the first point of contact for any queries from Leaseholders, Suppliers and Solicitors.
* Deal with the Sale, Lease & Transfer process, putting together the sales pack, and liaising with the Conveyancing Solicitor to ensure all the relevant paperwork is processed accurately and on time.
* Tracking sales progress and Recording completions of sales including updating systems
* Issuing welcome communication to new homeowners
* Actioning Block Manager’s site inspections as they arise
* Be the initial point of contact for all block management issues and liaise with directors and leaseholders when required.
* Liaise with contractors and in-house maintenance team for quotes to organise works and coordinate access.
* Liaise with freeholders and leaseholders regarding maintenance items or other issues relating to their freehold.
* Review, complete and action audits on all aspects of block management
* Liaise with Block Managers to ensure compliance is managed on all sites instructing contractors where required
* Deal with utility suppliers and ongoing bills for sites managed
* Attend AGM's and take minutes as required.
* Log details of insurance claims and liaise with insurers.
* Organise and manage keys reviewing the process as required
* Monitor and maintain the compliance register, ensuring that certificates and accreditations are kept up to date and any actions are communicated to the Block Managers.
* Chase service charges and ground rent arrears and taking payments from leaseholders where accounts require additional support
Experience Required as Block Property Administrator:
* Previous experience working within the Property sector or Conveyancing would be ideal.
* Previous experience working in an Administrative role is essential
* Must have excellent organisation skills and the capacity to work under pressure.
* Competent in MS Office suite, particularly Word and excel.
* Flexible working approach when needed.
