Working arrangement: Hybrid with a minimum of 2-3 days per week in the office. Ideally you would be in the office on the days the 3 Executive Management Team members that this role is supporting are in.
The Team You Will Join
We’re looking for an Executive Assistant who can thrive in a fast-paced environment supporting 3 members of our UK Executive Management Team; the Head of Transformation & Change Initiatives, the Head of Employee Benefits and the Head of IT. A detailed-oriented self-starter, this role serves as the eyes and ears for the executive team members that they support and requires someone who exhibits sound judgement with the ability to prioritise, is comfortable interacting with senior level executives, and with a resourceful, can-do attitude.
The Opportunity
The dynamic nature of the Executive Assistant role requires that the ideal candidate have exemplary time management, organisational and administration skills with the ability to identify and anticipate their executive team member’s needs. The Executive Assistant must interact seamlessly with a professional demeanour across a broad range of individuals including other members of the UK Executive Management Team and the UK CEO.
To perform the duties of an Executive Assistant successfully, the individual is expected to handle highly sensitive and confidential information while exercising professionalism and discretion.
How You’ll Help Us Build a Confident Future (Key Responsibilities)
1. Work directly with the three executive team members to support all aspects of their work, including keeping them advised of time-sensitive and priority issues, and ensuring appropriate follow-up.
2. Routinely perform a wide variety of support duties.
3. Extensive calendar management, including scheduling internal meetings and workshops, and all travel arrangements, whilst evaluating needs/priorities.
4. Some meeting pack preparation may be required, including recording actions and action follow up.
5. Timely submission and reconciliation of monthly expenses, including Gifts & Entertainment form submission.
6. Organising offsites and/or workshops, including research, all logistics and execution.
7. Work closely with the wider Executive Management Team and to have a good understanding of the key priorities.
What You Need To Succeed (Required Qualifications)
1. Experience in a similar role with previous administration experience.
2. Excellent Microsoft Office skills; Outlook, Word, Excel and PowerPoint.
3. Exceptional organisational, time-management skills and administration skills.
4. Excellent communication skills, both written and verbal.
