We are looking for an administrative assistant to provide efficient and high quality general admin and clerical support and reception support to our Breast Services department at Colchester Hospital. This role is part time 16 hours per week, these hours can be worked flexibility, however the current needs of the service will include working on a Thursday afternoon and Friday morning to cover reception (subject to change upon needs of the service).
You will undertake a range of clerical and administrative duties which will include receiving and checking documentation, reports and patient information, processing appropriately within departmental guidelines, entering information onto the appropriate IT systems and retrieving information.
As you will be dealing with patients and the general public, you must have a polite telephone manner and be approachable. You will also need to have the ability to work under pressure to strict dealings with excellent organisational skills. You will work on your own initiative with attention to detail and have confident and accurate IT skills.
• To greet patient and visitors to the department, providing an efficient and courteous service, referring queries or concerns regarding patients and other visitors to the department to appropriate senior staff when required.
• To deal with telephone callers politely and efficiently and understand the need to refer on to a relevant member of staff when necessary.
• To plan and book appointments in priority order in accordance with GP/Consultant requirements and departmental policy in a timely and efficient manner for outpatients, GP patients and outreach ultrasound clinics using the booked appointments system including sending out letters and preparation for the examination.
• To communicate with patients, some of whom may be anxious or distressed, via the telephone and face to face, to agree appointment date and time and answer general enquiries
• Liaise with depart Consultants, radiographers and sonographers to ensure room availability and lists are correctly booked.
• To ensure all appointment slots are utilised to keep patient waiting times to a minimum.
• To prioritise appointment bookings according to within waiting list targets reschedule as required.
