Area Administrator: Bury St Edmunds (DC)
We are looking for an experienced and dedicated administrator to join us on a part-time (2-days per week) temporary 6-month basis, with the view of potentially extending or making permanent. We are looking for someone who holds the same values as Mencap and can provide day-to-day administrative support to our management teams, with an enthusiasm for developing digital ways of working.
The role will predominantly be based from our Drummond Court office in Bury St Edmunds, with the option, or flexibility to work from home on occasion when it’s required. It is important that you can work in a fast-paced administrative role. Lots of flexibility in your approach to work is crucial, as you will be managing multiple tasks at any one time. You will be someone who is competent and self-motivated, with fantastic verbal and written communication skills. You will have good computing skills in Microsoft Office packages, excellent verbal and written communication skills in a pressurised setting.
Please check you meet the following before applying: -
· Two year’s previous proven administration experience
· Excellent typing and computer skills in all Microsoft Office packages
· Proven experience of minute taking and verbal dictation.
· Office organisation/management experience including archiving
· Proven experience of drafting letters and reports in line with company policy
· Proven experience of supporting a management team or equivalent
· Willing / able to occasionally travel to other locations in order to support with minute taking or other tasks, although some are done over MS Teams.
Other duties include:
*Answering email/telephone queries
*Ordering PPE & Stationary
*Ordering adhoc items
*Taking minutes at meetings/hearings
*Processing invoices
* Data collation & reporting
*Processing staff ID badges
*Carrying out pre-employment checks for new staff – DBS checks, ensuring we have the correct ID & RTW documents, chasing references and issuing e-visa documents etc.
*Processing staff DBS renewals (where applicable)
*Scheduling, finalising & updating the Manager On-Call Rota
*Formatting & sending letters
*Post: parcels/letters
*Booking meeting rooms/hotel accommodation/train tickets
*Booking events/days out for PWS
*Assist & support in digital file management
*Office archiving
*Covering AA colleague’s AL/Sickness
