We are seeking a highly organised and proactive Executive Assistant for a tech startup in Richmond. The ideal candidate will have previous experience supporting executive teams for a fast-paced or start-up organisation. You’ll be responsible for calendar management, meeting booking and other administrative tasks to support the MD and leadership team. What you’ll be doing Managing executive calendars, scheduling meetings, coordinating travel arrangements and booking accommodation Managing the executive’s inbox, filtering emails, drafting responses, and ensuring important communications receive attention Booking travel arrangements, creating detailed itineraries, and handling adjustments when necessary Preparing and editing correspondence, reports, and presentations Preparing agendas, organising materials, and taking meeting minutes Organising and coordinating internal and external meetings, including logistics and materials Handling confidential information with discretion and professionalism Acting as a liaison between executives, clients, and external partners Assisting with special projects and initiatives as needed Ensuring executives are well-prepared for meetings and events, showing seamless preparation and communication Organising and maintaining files, records, and documents, both digital and physical, to ensure information is easily accessible Assisting in planning and coordinating executive-level events, including client meetings, board meetings, or team gatherings What we are looking for Proven experience as an Executive Assistant or in a similar role (ideally within a startup) Exceptional skills in calendar management and event coordination Strong organisational and multitasking skills with an eye for detail Excellent written and verbal communication skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Ability to work in a rapidly growing organisation and manage multiple priorities Experience coordinating both virtual and in-person events Familiarity with CRM or scheduling software
