We are looking for an experienced ProjectCoordinator to Join our Telecoms team based in Luton. As a ProjectAdministrator you will play a crucial role in supporting projectteams by providing administrative assistance and ensuring thesmooth operation of project activities. You will be responsible formaintaining project documentation coordinating meetings andassisting with communication among team members andstakeholders.
Responsibilities
* Maintainand organize project documentation including project plansschedules budgets contracts and other projectrelatedmaterials.
* Ensure that project documents areaccurate uptodate and accessible to project team members andstakeholders as needed.
* Assist in thepreparation and distribution of project reports presentations andother documentation as required.
* Schedule andcoordinate project meetings workshops and presentations includingbooking meeting rooms sending invitations and preparing meetingagendas and materials.
* Record meeting minutesaction items and decisions made during meetings and distribute themto relevant stakeholders in a timelymanner.
* Follow up on action items and deadlinesto ensure that tasks are completed on time and withinscope.
* Assist in facilitating communicationamong project team members and stakeholders including responding toinquiries forwarding messages and relaying information asneeded.
* Maintain contact lists distributionlists and communication channels to ensure effective communicationflow throughout the project lifecycle.
* Monitorproject communication platforms (e.g. email project managementsoftware) for incoming messages updates and notifications andensure that they are addressed promptly.
* Assistin managing project resources including personnel equipment andmaterials by tracking availability utilisation andallocation.
* Coordinate with vendors suppliersand subcontractors to procure goods and services required forproject activities and maintain accurate records of purchases andexpenses.
* Assist in maintaining project budgetstracking expenditures and preparing financial reports asrequired.
* Support project managers inimplementing quality management processes and procedures to ensurethat project deliverables meet the required quality standards andspecifications.
* Assist in conducting regularreviews inspections and audits to monitor project performance andcompliance with regulatory requirements and industry bestpractices.
* Document lessons learned and bestpractices for future reference andcontinuous
Skills&Experience
* Bachelorsdegree in business administration Project Management or relatedfield.
* Proven experience in projectadministration coordination or related role preferably within therelevant industry.
* Strong organisational skillsattention to detail and ability to manage multiple tasks andpriorities simultaneously.
* Excellentcommunication and interpersonal skills with the ability toeffectively communicate with stakeholders at alllevels.
* Proficiency in Microsoft Office Suite(Word Excel PowerPoint Outlook) and project managementsoftware.
* Knowledge of project managementmethodologies (e.g. Agile Waterfall) and bestpractices.
