Responsibilities:
1. Provide a point of contact for written and telephone enquiries on behalf of the Consultant and their team, using discretion to establish the validity and priority of the contact.
2. Deal efficiently with enquiries from all levels of medical and nursing staff, GPs, Social Services and other allied health professionals, in a timely and courteous manner, providing basic information and non-clinical advice.
3. Deal with and action where appropriate, all incoming mail, including email and faxes on a daily basis, appropriately refer patient report queries or laboratory queries to the Consultant or other areas for action and information.
4. Accurately transcribe, from audio dictation, with knowledge of medical terminology, all correspondence to GPs, other hospitals and outside agencies relating to the patient pathway. Generate routine and non-routine correspondence independently. Verify the accuracy of all reports according to departmental policy and ensure results are made available in a timely manner.
5. Maintain the Consultant's diary, book appointments with hospital representatives and liaise regarding lectures/meetings.
6. Provide accurate and confidential information to assist with continued data entry, complying with the requirements of the Data Protection Act, Access to Health Records legislation and Caldicott. Accurate retrieval of patient information via the PAS, RIS, ICE and other departmental computer software programmes.
