Job description: RINAis seeking a Business Support Administrator to join our growing team in our Pontyclun office, Soth Wales, supporting all UK Business areas. Your primary function is to provide high quality support services to the UK region (commercial, procurement, finance, HSE and other corporate functions) and to its external clients & suppliers, which include energy & renewables suppliers and industrial organisations. You will also be accountable for managing the office, coordinating everything including HSE, office supplies and other office administrative duties. In this fast-paced environment, with a high volume of tasks, you will be required to manage the ever-changing pressures which continuously arise in this fast-paced professional services environment. We operate a hybrid working environment, providing dual office based and home working. Responsibilities: 1) General Administrative and Project Support Provision of general administrative support to the UK Operations and Management Team as required; Supporting project managers with workload scheduling; Raising and issuing sales invoices; Support with accurate data entry into systems including customer data, quotations and orders; Booking external training courses for employees and ensuring all records are kept up to date; Providing support to the local office including answering phones, managing deliveries and general facilities support; Assisting with scheduling equipment maintenance; Provide administrative bid support, collating supporting documentation, completing pre-qualification questionnaires; Provide support for any events, meetings or gatherings as required; 2) Procurement support Obtain relevant quotes for purchases and liaise with suppliers to ensure mandatory information has been provided to be qualified; Submit purchase requests and monitor approvals on Procurement system; Check and receipt supplier invoices are correct and all services / goods have been received; Booking any travel requirements for the business via company approved suppliers, for example: car hire, flights, hotels, rail travel. Ensuring travel logs are up to date.
